When you go on a first date, you spend time picking out your outfit and making sure you hair and make up (if applicable on both there) are looking their best, you shower and apply scent before heading out to meet with your date. Generally you arrive a little early to set a good impression and then spend the date making small talk and analysing everything.

We do this for our personal life, yet so many venues forget about the first impressions and show a venue that wholly looks unprepared, is messy and often has a certain aroma that is not pleasing to anyone!

Showing an event venue to a potential client is much like going on a first date. First impressions matter, and just as you’d prepare meticulously for a date, an event venue should be perfectly prepped before welcoming clients. Here are the essential steps an event venue should take to ensure it makes the best possible impression, drawing a parallel to the careful planning of a first date.

1. Clean and Tidy Up

Just as you’d ensure you’re well-groomed and dressed appropriately, the venue should be spotless. A thorough cleaning is crucial, ensuring every area is pristine, from the floors and walls to the restrooms and kitchen. Attention to detail in cleanliness reflects the venue’s commitment to quality and care.

2. Set the Atmosphere

Think of setting the mood with the right choice of restaurant and conversation topics. For the venue, this means creating an inviting atmosphere. Adjust the lighting to highlight the venue’s best features and consider playing soft background music to make the space feel warm and welcoming.

3. Stage the Space

Just as you’d choose an outfit that showcases your best self, stage the venue to show its full potential. Arrange tables, chairs, and décor as they might appear during an event. This helps clients visualise their own event in the space, making it easier for them to imagine their ideas coming to life.

4. Highlight Unique Features

Much like mentioning your unique hobbies or talents, showcase the venue’s standout features. Whether it’s a stunning view, unique architecture, or advanced AV equipment, ensure these elements are prominently displayed. This sets your venue apart and makes it more memorable.

Be ready to answer questions, just as you’d be prepared to discuss your interests and background. Have brochures, pricing lists, and detailed descriptions of available services and packages ready to hand out. This demonstrates organisation and professionalism, reassuring clients of your venue’s reliability.

Tailor the conversation to your date’s interests; similarly, personalise the venue tour to align with the client’s specific needs. If the client is planning a wedding, highlight features that would appeal to wedding planners. For corporate events, focus on the technical capabilities and breakout spaces. Personalisation shows that you value their individual needs and are keen to meet them.

Just as you’d be ready to put your best foot forward, your staff should be prepared to do the same. Ensure that all team members involved in the tour are well-informed about the venue and can answer any questions confidently. Friendly and knowledgeable staff can significantly enhance the client’s experience.

I once viewed a venue where the event manager insisted on first having a few drinks at the local pub and then got so drunk we never got a chance to see the venue!
