Implementing a Workflow System Within an Operational Unit

Implementing a Workflow System Within an Operational Unit

And if the framework of tomorrow was able to juggle between IT and managerial skills?

What if he was able to understand the workings of his organization, and then retranscribe his various processes in a smart computer tool to finally automate all these business processes in a custom workflow system?

BUSINESS CONTEXT

I started my professionalization contract on September 22, 2017 at the head office of the company Rue du Commerce (Carrefour Group).

I occupy within Rue du Commerce the position of Creative Studio Coordinator. Studio Création is in charge of creating all the visuals of the e-commerce site Rue du commerce.

As part of the development of the studio's production, and in order to meet all the business needs for which we work on a daily basis, the studio needed to set up a tool capable of grouping all the requests on a single platform.

We also needed to have more visibility and traceability throughout our scope of action to better manage daily and weekly workflows.

When I arrived, my tutor asked me to develop a smart production tracking tool for the graphic studio, leaving me free way.

I was recruited among others to manage this project.

INTRODUCTION

Internet technologies are maturing, because many technologies related to the Internet have experienced exponential evolutions in recent years in connection with advances in computing such as memory, storage, connectivity, computer processors, etc. Advances in mobile technologies have also significantly increased the accessibility of new web tools. All these developments point to new, even more powerful web applications in the future.

WEB TOOLS AT THE SERVICE OF THE COMPANY

With the emergence of the Internet culture, many 2.0 tools have emerged to allow companies to improve their performance, in addition to being free of charge these tools have the advantage of being accessible and easy to use.

? Large file sharing tools: Wetransfer, Dropbox, One Drive, Google Drive

? Task Management Tools (Agile Tables): Trello

? Collaborative writing tools: Google Docs

? Web Conferencing Tools: Google Hangouts, Zoho meeting, Live minute, Skype

? Internal messaging tools: Slack, Discord

ADAPTABLE TOOLS

There is also paid software that can be used to improve the internal communication of a business unit, or a company. This software sometimes exists already within the company without knowing it.

The JIRA software which is initially a software of resolution of bugs used by the computer service, allows (after configuration) to adapt to different operational units notament within the marketing department, by allowing to translate the creation briefs in the form of computer form , these forms are the entry points into the software of all the data needed by Studio Création to create the visuals of the various commercial operations of the internal sponsor of Rue du Commerce.

PRECIOUS SKILLS FOR THE COMPANY

In a traditional organization the implementation of a new tool goes through several services (IT, business, strategy, etc.) and undergoes a rather heavy process that sometimes can sometimes discourage managers.

Tomorrow, with the accessibility and development of enterprise web applications coupled with the arrival on the job market of generation z. New managers will be more skilled with new technologies, and will be able to easily train themselves to the implementation of powerful web tools within their structure by saving the intervention of too many actors in the company as this is the case today.

THE BENEFITS OF SETTING UP A WORKFLOW SYSTEM?

1. Improved Efficiency: The first benefit of optimizing business processes is also the most obvious: it can improve the efficiency of your business. Many companies are still relying on inefficient systems or requiring manual intervention for tasks that could be automated. It's a waste of time and resources that reduces your ability to make a profit and unnecessarily stresses your employees. The well-being of your employees suffers and your business processes are burdened with errors and other preventable problems. By automating certain tasks and simplifying others, optimizing business processes will allow your team to be more efficient and spend more time on actions to grow your business.

2. Accurate Information : Accurate and up-to-date information is essential to the success of your business. Providing access to relevant and accurate information helps your team avoid costly mistakes.

3. Better Adaptability : A business process optimization system allows your team to react quickly to changing markets, unforeseen challenges or new developments. It helps your company identify opportunities and potential challenges, and allows you to act quickly to always have a head start.

4. Performance Monitoring : The implementation of the new tool has created real-time performance monitoring. By sharing and tracking reporting across departments, optimizing business processes has made it much easier for the team to monitor performance. For example, setting up a monitor (see image above) allows better monitoring of performance.
