Amidst the whirlwind of events surrounding OpenAI, Microsoft and their leadership, I’ve delved further into ChatGPT’s features. I’m eager to share my discoveries while we watch the unfolding narrative of these events.

Let’s dive into Custom ChatGPT, or GPTs for short.

This functionality lets you craft a personalized ChatGPT. You can then unveil your creation to your project team or even the world.

No coding is required (obviously).

This tool, currently available exclusively to ChatGPT Plus and Enterprise users, is a game-changer for us:

Imagine crafting a virtual assistant, project coordinator, scheduler, cost controller, or even project manager, that you can command to manage various aspects of your project.

For example, think about cost allocation: you can ask ChatGPT to create a virtual project cost controller for you that will receive data about project costs and compile everything, putting together the information in a specific format that you require so you can download it and use it as you wish.

You’ll then give it a name, let’s say: “The best cost controller ever”.

How does it work?

Once you test it and polish it, you save it and can start using it. Every time you have new expenses for your project, just tell your best controller ever to add them to the project cost spreadsheet. You don’t need to do that in one shot. Whenever you have new data to add to the model, invoke your cost controller and “talk” to them. Your ChatGPT account will make sure that the data will be kept consolidated until the end of the project.

These are some examples of what to write to get your job done:

  • Please add the cost of software licenses for the project. It's $5,000 per year.
  • Include the expenses for hiring a freelance developer. The rate is $150 per hour, and they will work 40 hours a week for 3 months.
  • We just got a quote from our outsourced designer, and we’ve agreed to hire her for $4,200.
  • Add the salary expenses for the project team. The combined salary adds up to $340,000 / year.
  • Please add this receipt to the project (a receipt that you smoothly upload to the GPT).

?A-ha! Bonus for you!

Yes, you can simply upload scanned receipts and your best costs controller ever (aka your new best virtual friend) will read it and extract the data for you. Isn't it great?

And, from time to time, you may ask your best cost controller ever questions like:

  • Please calculate the total project cost based on the expenses we've added so far.
  • Can you list all expenses incurred so far with external vendors?
  • Provide an overview of the project's cost breakdown by category, including labour, materials, and software.
  • Show me a vertical bar chart with all project expenses by category, sorted by the subtotal of each category.

The real treat (I call it the cherry on the sundae) comes with prompts like these ones, that you can potentially add to your routine:

  • Set the budget for the meals category to $600/month and let me know when we reach 50%, 80% and 100% of this cap.
  • Generate a cost analysis report for all ongoing expenses, highlighting any cost variation above 10%.
  • Estimate the projected costs for the next quarter based on the current spending rate and planned activities.
  • Provide a cost forecast for the entire project, taking into account remaining tasks and anticipated expenses.

I feel that you’re getting excited! But let’s back up a little bit for a second: the polishing phase is about customization. At that moment you can set expense categories, manage currencies, establish conversion rules, determine default output table formats, and much more.

(As a side note, you can use this GPT to simply aggregate receipts of a business trip instead of an entire project, it works beautifully too for that purpose).
