Product Roadmaps

Have you seen the latest Product Roadmaps from HubSpot?! I can't tell how long they've been out, but it seems that HubSpot released them fairly quietly and a bit later in the year than they used to. Regardless, I had a lot of fun going through them this weekend!

You can see what the HubSpot product team has up their sleeves by going to HubSpot.com/new, scrolling down to the gray 'New Features & Releases' section, selecting a hub, then scrolling down to the the Product Roadmap slide show (simple right?).

We've seen most of the 'In Development' stuff already this year (at least in their early beta forms), so I was most excited for the 'Being Planned' sections. Here are the plans that I can't wait for:

  • Lifecycle reporting in campaigns - giving us more visibility into how a campaign affects buyers' movement through their entire buyer journey
  • Journey Analytics pathfinder - giving the journey analytics reports a brain so that they can automatically detect and show buyers' most common pathways between any start and endpoint
  • Deeper revenue reporting - TBD on what this will actually include, but I'm hoping it's easier reporting for recurring revenue
  • More AI chat and support features - with voicebots and the ability to base AI chat off of more content sources and in more channels
  • SMS as a customer support channel
  • Custom macros - helping support reps quickly complete repetitive tasks
  • New structured content types - support for structured content beyond blog posts, like case studies and custom content types
  • Expanded HubSpot object model - HubSpot is promising a 'new set of HubSpot-defined objects available to all customers' but we don't yet know what they'll be
  • Advanced data quality suggestions and rules - leveraging AI and other new features for a cleaner HubSpot
  • Payment method on file - store buyers' payment details for future charges
  • Accounts receivable reporting and automation - track and more easily collect on receivables all from within HubSpot

Update Of The Week

Mobile Optimized Email

HubSpot dropped a new private beta last week that greatly expands marketers' ability to optimize emails for mobile - all without having to rely on a developer to create or modify hard-coded templates.

Now, all within the drag and drop email builder, you can show or hide different modules for mobile and desktop, and have greater control over whether and how columns in a row will stack for small screens.

To request early access to the beta, navigate to product updates and search for 'Mobile Optimised Email'.

Admin's Assignment

HubSpot Workflow Audit

When I speak with admins who are frustrated with a messy HubSpot instance, they're usually most frustrated with one or both of these:

  • Dirty data
  • A tangle of workflows that make your box of old cords look neat and orderly

We addressed dirty data in our last edition and, with this week's Admin's Assignment, we're reviewing the automations that drive the magic (and mayhem) in HubSpot. But don't worry, I've built out a HubSpot workflow audit template to help make this process go as smoothly as possible - it'll even recommend some actions based on your workflow data!

Step 1: Copy and prep the template.

  • Click here to view the template.
  • Click File > Make a Copy to save an editable version (you'll need a free Google account with Google Drive if you don't already have one).
  • Enter your HubSpot portal ID in cell E1. Your portal ID can be found by clicking on your company name in the top-right corner of HubSpot > it is the number under "Account" and your company name. Adding your portal ID will allow the template to provide links to each workflow after you copy over your data in Step 4.


Step 2: Prep your workflows for export by navigating to workflows in HubSpot, then clicking Actions > Edit Columns, then adding and rearranging columns so that they match the following fields in the same order, then clicking Save.

  • Name
  • Description
  • Object Type
  • On of Off
  • Currently Enrolled
  • Enrolled last 7-days
  • Enrolled Total
  • Enrolled Unique
  • Last Action On
  • Current Issues
  • Last issue Occurred On
  • Created On
  • Created By
  • Updated On
  • Updated By
  • Action Types
  • Flow ID


Step 3: Export your workflows by clicking Actions > Export Workflows, selecting XLSX for the format, then selecting 'Workflow dashboard data in current view', then clicking Export.


Step 4: Copy your workflow data into the audit template.

  • Open your exported file in Excel or Google Sheets.
  • Delete the first row with the column headers and delete the first column with the record IDs.
  • Select all, then copy.
  • Open your copy of the audit template and select cell E3, then paste.


Step 5: Make your audit file easier to work with.

  • Select the entire worksheet by clicking the gray in the top-left corner, then turning on wrap text.

  • Select row 2, then turn on filtering.


Step 6: Conduct your audit. Use the Orange Admin Assessment column for guidance, but be sure to review each workflow and decide on an action for each (recorded in column B). Take notes in column C along the way. As you review your workflows, keep an eye out for:

  • Workflows that are no longer needed.
  • Workflows with a lot of issues.
  • Workflows with no description and/or that don't follow your naming convention.
  • Workflows that are duplicative.


Once you're done, make a plan for implementing the necessary changes. Then identify a cadence for conducting this audit (quarterly, semi-annually, or annually) to keep your workflows clean and dependable.

Love the workflow audit process you've got here! We just went through one with a client and it is not this organized, so we'll keep this handy for the next one.
