HR in the Cloud

I am currently working with a cloud based HR process and data management platform. We are localizing it for Japan. It is not a payroll nor a time management system. It contains the following modules:

HR employee and organizational Master data

All relevant Employee data can be recorded and are kept secure and fully GDPR compliant. it also allows you to create your organizational chart and allocate and easily move around employees accordingly.

Equipment

Equipment such as keys, phones, computers etc. can be recorded in the system allowing you to keep track of who have what.

Contracts and documents.

You can either upload scanned contracts, documents etc. or build standard contract forms that will be auto populated with employee data from the master data to allow you to make new contracts in minutes.

The system works with its own internal digital signage as well as an official digital signature option.

Processes

You can design your own processes in an intuitive designer. The processes is a collection of tasks and each task can be associated to employees. This allow you to make standardized processes for Pre-boarding, on-boarding, Appraisal interviews, salary negotiations, dismissals and off-boarding, etc.

Apps

The solution allow you to create mobile friendly web apps. Make one on the go or create a reusable template that can be deployed in seconds. Apps can be used to collect master data, create surveys, collect information, distribute documentation and collect acknowledgement of having read them etc., all in a secure manner.

Competences

The competence section allow you to track and monitor a set of competencies among employees. The module utilize the EU ESCO database where competences and job functions are defined and matched. Through manager- and self-evaluation competences can be monitored over time and create the basis for decisions about training, promotion and dismissals in a quantitative structured way.

Recruitment

The recruitment acts a standalone module that integrate with the Staff module comprising above. The module allow you to manage the entire process from creating a hiring committee, do Job postings online, accepting applications setting up interviews, conducting browser based video interviews, creating shortlists, and finally selecting your new colleague at which time the Staff module takes over. The module contains a candidate database and is set up to be in compliance with GDPR.

Security

The system is build to be GDPR compliant in all aspects and its possible to design access rights based on user roles. i.e. who can do what or see what. The solution can work with two factor authentication or be linked up with your AD for single sign on. Sensitive data is as default hidden making it easy to access but hard to pick up if walking by a screen that is on and data is of course securely stored using top of the class cloud service providers.
