Resigning from a company on good terms starts with the drafting of a well-worded resignation letter that doesn’t blame the company or state negative points in any way.
No matter the reason for leaving your job, it is always wise to write a polite and dignified letter of resignation so as to maintain good relations with HR and your higher-ups. So in order to write a professional letter, go ahead and follow these simple steps.?
Start With The Regulars.
Start with the regular greetings, name, and address of the person you’re mainly addressing in the letter. Then state your subject along the lines of “Application For Resignation” or “Seeking Resignation From Post”.
State Your Intent.
Once you start with the body copy, mention your name and designation first, followed by writing a clear intent as to why you’re drafting the letter. Be clear that you are looking to leave your current position and job at the company in the most polite of ways. Also mention the last day of your job, with enough leeway for the company to manage without you. This will ideally be a sort of notice period, which is a minimum of 15 days.?
Your intent could be “Please accept this letter as notice of my resignation from my position as xxx. My last day of employment will be [date].”
Mention A Reason
Whether it’s a new opportunity, a bad company culture, or health concerns, be sure to state a single-liner reason for leaving the job, without being negative or critical of the company. If you’ve found a better job, you could write, “I received an offer to serve as (post) of a Fortune 500 company, and after careful consideration, I realize that this opportunity is too exciting for me to decline.”
On the other hand, if you want to leave the company because you don’t like the culture or practices, go ahead and write, “It is due to personal/familial reasons that I would like to take a step back from the job.”

Express Your Gratitude
Thank your higher-up or HR, whoever is receiving the letter, for giving you this opportunity in the first place, and make sure you repeat this sentiment of gratitude at the end of the letter as well. Make sure you mention that your time at the company was a fruitful one.
Highlight Your Time At The Job
Make sure you delve a little deeper into how helpful the job was for you, and what you learned while working there. You can also mention a significant incident that really helped you grow at the company. Make sure you highlight that it was always a pleasure working there.
Wish Them Well
Towards the end of the letter, wish the company good luck and mention that you’d like to remain in touch with them in the future as well. This will keep your opportunities of rejoining at a better position or better pay a few years down the line- if the company truly does well. Also, provide them with your personal email id so that they know how to get in touch with you in the future.
Assure Co-operation
Lastly, let your company know that you’d be open to cooperating with them for the resignation process, which might include training a new employee or an existing one, and submitting all necessary documents. If there is a notice period mandate at the company, let them know you’ll abide by that as well.
