How to work with an assistant in the most productive way possible

They say that if you do not have an assistant, YOU ARE AN ASSISTANT.?

I remember the first time I hired a human assistant. IT CHANGED MY LIFE.

My Vistage coach at the time Diane introduced me to the idea of getting an assistant and I was resistant at first.

I thought that if I had to teach them how to do it, I might as well do it myself.

BOY WAS I WRONG.

First, realize that you do not need to hire a full time assistant to have an assistant.?

I routinely hire assistants for all types of jobs. For example, if I want to hire an assistant, I will hire a person to help me send out the job description to candidates for me so I don't have to do it.?

I will also hire that same person to have a screening interview with those applicants and record their interaction.?

This way they send me over only the most qualified candidates for the assistant position.?

I then review the most qualified candidates' videos and can choose which ones I want to meet and I have that same person schedule a meeting with us.?

I hired an assistant to help me find an assistant and I only hired them for a few hours.?

You can hire an assistant to help you with digital marketing activities.?

The thing is you need someone to help you build out your strategy and assets because the assistant does not really know digital marketing, they can just help you with manual repetitive activities and follow a strategy created by an expert.?

We see more and more of our clients hiring assistant to do these manual tasks but they need to be given directions.?

I have an assistant to take notes during my meetings and help me follow up because I have so many meetings, I tend to go from meeting to meeting and I do not have the time to follow up.?

My assistant also sends reminders for people to join meetings and if I am going long on a meeting she lets me know.?

Personally I get carried away in meetings and often I forget that I have a call coming up.?

Sometimes I am doing a very focused task and I do not want to wait for a person to join my meeting, especially because many people COME LATE or miss the meeting.?

We decided to create a LinkedIn course instead of this type of course and focus on that instead.?

In the future I might create this type of course for people who want to train their assistants.?

Here are the key elements.?

You need to find the right people and onboard them properly.?

Often you hire the wrong people, you do not train them and then you wonder why it doesn't work.?

You blame yourself for not getting what you need out of your employees.?

DO NOT BLAME yourself,?

INSTEAD TRAIN yourself and your employees.?

Once you find the right people, get to know them.?

We hire people and we know VERY LITTLE about them.?

I personally have a MEET AND GREET with every employee and learn about what is going on in their life.?

Knowing what they have as responsibilities besides the job you have given them will help you understand why they might become unavailable to you at times.?

You can also learn how to make their job easier by knowing more about them.?

Also having good boundaries and agreements in any relationship is key.?

Manage expectations.?

If you want them to communicate with you a particular way, tell them and write it down.?

Make sure they have a checklist to work off and a document where they write down all the steps they need to take for each task they need to complete.

Get really clear with them about the vision, goals and what needs to be done.?

Have them understand your roles and how they can best support you.?

We often fail to communicate our objectives and we wonder why people do not support us.?

Setting priorities and communicating what is urgent and what is important but not urgent is really key too.?

If you have never heard of the eisenhower matrix, read the book the 7 habits of highly effective people.?

If you want to be successful with time management you need to learn how to manage your time.?

Time management is a SKILL not a talent.?

Once you have a good onboarding process and you have a good prioritizing process in place then it's time to start flowing with your assistant.?

Get a good rhythm going.?

How often do you meet to review your calendar??

Get a good reporting process going.?

How often do you get insights from your assistant?

Get a good technology process going.?

What technology do you use and how much training are you providing your assistant?

Keep in mind that this last one is a GAME CHANGER.?

You need to give your assistant the ability to use technology.?

AND YOU NEED TO TRAIN THEM.?

I have a dozen people that I hire to help with a variety of tasks on LinkedIn but they all have AI helping them.?
