What software tools you might need to manage your Project Team?
The automatized ones. The visually attractive ones. Versatile enough to keep the communication rich and comprehensible for the team and stakeholders. A tool that integrates with other instruments you use. And also something unique for your needs as a manager. Something agile.
Surprisingly, there are many tools like that.
This is exactly what makes it hard to find the right one!
The decision is yours, but let us show you how Monday.com helps project leaders manage their communications.
We will explain:
Communicating on monday.com
First of all, monday.com has two main forms of communication: for the Team in general and for Specifics. The first group relates more to preparatory, "silent" communication that helps people understand WHAT they need to do. The second group manages the execution process itself, holding the discussion on HOW things should be done.
Team Communication
After the team is formed and the tasks are formulated, monday.com suggests you put that info into the platform (create the team and create the board). Then, you can transfer your project plan into an interactive board, that during the project will look like this:
At this stage, you will need to Assign a Person (the owner of the task), mention the Dependencies that will be important to keep the project cohesive and Set the Deadlines and the Priority.
You do need to discuss these steps with your team in the Preparatory stage. Monday.com helps you visualise the decisions without making long documents very few truly patient employees will read till the final point, and avoid sending numerous update emails. Maonday.com gives the team all the information they need about their tasks at a glance.
Communication on Tasks
As the platform creators mention themselves, the key to successful information exchange is context. That is why monday has various ways to comment on a task.
Visual tools include Status: with a color code, you will never miss an issue or a blocker claimed by a team member. In addition, people can comment on status updates and mention those who can help or need to be updated (for dependencies, for example).
Another powerful system monday offers its customers consists of Updates and Notifications.
For any task, you have a section for comments, where people can share their progress, and grab someone's attention when needed (mention with "@"). This does away with the need for long email threads with misleading cc's. Instead, organizes a separate chat for each and every task. The context remains.
What if the tem member needs to show something specific? An image, photo, or a document?

?? Easy: every item has its own folder for all types of attachents - Files.
To make sure everyone (who needs it) sees the update, the Notification internal and external (via email or Slack) options are present. So, every time someone mentions you as a project manager on a task, you get a corresponding message coming to your Updates folder. There each person invited to the team or just the board can see all updates related to him or her.
Is there a chat to talk on monday.com?
? No, there is none. The only type of communication here is the context one. But, as you have seen, it is covered with integrations.
External Communication with monday.com
While the main focus of monday is on the team's internal connections, it also allows you to add Guests to your boards. This is truly useful to engage seniors, experts, customers, and other important stakeholders in your project.
Monday.com also has numerous integration. Besides the aforementioned Slack and email services, it includes:
and that is just for pure communication, while there are Creative, Marketing, Customer Support, and many other groups of integrations.
Monday.com's Disadvantages
Yes, we love monday.com, and it is an amazing tool. However, as with anything else in this universe, it is far from perfection:
Conclusions
POINT 1:
Monday.com is great for those who need a highly-contextualised communication environment. If you find yourself discussing more generic ideas most of the time and managing people, not tasks, it will be harder to tailor the platform. But not impossible:)
POINT 2:
Monday.com has a lot, A LOT of variations of its use. It can be misleading, but with the right approach and configuration, it will become an almost unique tool adapted specifically for your team or company.
Looking forward to seeing how monday.com can make your communication management smoother?
We'll be happy to make that come!
Yours,
