How to use Copilot for M365 during Teams Meetings

We've already covered several different topics, including Word, PowerPoint, the importance of governance, and how to become a prompting pro. Today I want to dive into one of my favorite use cases: Copilot for M365 during team meetings.

Make sure you have the right settings

Especially during a meeting, Copilot has a kind of super power. Personally, I think it saves a lot of time and gives you really valuable results right away.

But, as always, you need to have the right settings and use the right prompts.

How to set up a meeting to use Copilot during a meeting

To use Copilot during a meeting, you need to make sure the settings are correct. You can do this before the meeting.

Set up the meeting in Teams

It is much easier to organize your invitation directly in Teams. Just click on the meeting options on the right side when you set up your meeting.

A pop-up window will appear with the Copilot settings at the bottom. You can choose whether Copilot is available with or without a transcript.

Note: Without a transcript, you won't be able to use the power of Copilot after the meeting.

Setting up the meeting in Outlook

If you use Outlook to organize your meeting, you can add the meeting options later. So once you've set up your team meeting, you can navigate to your meeting options. They are located just below the meeting link.

This will take you to the browser, where you'll find the same meeting options as in Teams.

Both are valid ways to do this.

Get more out of your meetings

As always, you will find your personal assistant, Copilot, right in the Flow of Work. Just click on the Copilot button in the top navigation bar in your meeting to open the familiar right-hand sidebar.

It is important to note that your Copilot interactions are only visible to you and not to other meeting participants. Once your Copilot panel is open, you can easily interact with it.

Only 10 Minutes left

You will notice that once you have Copilot in place, it will notify you in the last 10 minutes to ask Copilot for a summary. Ideally, you will end your meeting with a well-written meeting summary / note.

But of course there is much more to it than just a meeting summary. Copilot is your companion throughout the meeting. You can even interact with it during the meeting.

You are running late into a meeting

There are times when it's unavoidable to be late for a meeting. Copilot can help you get up to speed as quickly as possible.

Summarize what I’ve missed in the meeting.         

Pros and cons of a discussion

You've discussed a hot topic with your meeting participant. Copilot helps you to structure the discussion, ask Copilot to deliver the pros and cons in a table.

Create a table of pros and cons for [topic]        

Meeting notes

As you've already seen, Copilot creates your meeting notes at the very end. Just ask Copilot to create the meeting notes and you're ready to copy them into Loop or OneNote, for example.

But Copilot helps you even when you're running late into a meeting to catch up easily.

It can be hard to keep the overview of all the different topics. But Copilot can even help you to get sorted, just ask

And there is so much more

There were very few use cases. You can ask almost anything, even to an explicit person.

and it will give you the answer based on Entra ID or other contextual information.
