How to use the 5W1H rule?

5W1H is otherwise referred to as the asking process or the 5 Ws technique. In it each letter is an expression in which a question is answered:

when, who, when, how, and why.

This approach helps you to grasp a problem by exploring all facets.

5W1H is brief for “Who, What, Where, When, Why, and How.” It is used both to solve complex problems and to plan projects.

This approach helps you to understand a situation by analyzing all facets and to distinguish a question. “The 5W1H approach helps you to distinguish details needed to properly interpret, cover, explain, organize, construct a situation; because this way of thought helps you to examine certain things from a range of viewpoints”.

It is often used and used in different ways and is very common among journalists. It allows you to ask the right questions, spreads your investigation and obtains the correct knowledge to help you find the appropriate answers for your needs. This approach helps you to lead all the team members and collect all the relevant elements required to interpret them thoroughly and critically.

How 5W1H is used?

There are several different implementations in the 5W1H process. It is ideally suited for a variety of systems, applications, and challenges, because of its flexibility and usability, and can be used at all levels of the people, company, journalism and also by organization and business :

  • At the market penetration technique, for example, it is the concept of improvement.
  • At the level of administration to strengthen coordination and procedures of brainstorming.
  • At the point of consistency as a method for addressing problems.
  • At the business, stage to promote the production of new approaches and ideas.
  • At the basic point of project leadership.
  • At the public level, it solves a personal living at an emotional level, at stress level and so many. It acts as a problem solver at every problem.
5W1H Cause-Effect Analytical Approach:

The analysis of cause and effect is based on many skills and abilities. The model 6 M, for example, is efficient in identifying and categorizing important factors. The system (manpower, equipment, resources, processes, measurements, maternity, and work). Creative thinking is another useful approach that can find potential triggers. The basic 5W1H technique also can be implemented in order to promote research.

Basically, this type of tool allows you to describe:
  • The first W stands for What?

Analysis: mission description, operation summary, specific problem, project aim.

Goals: Objectives, acts, processes, equipment, etc.

Queries: What is the concern or risk? What’s the problem? What are the features of the product? Why does the service function?

  • The Second W stands for Who?

Analysis: describe owners, people in charge, or those affected. Explanation:

Goals: Administrators, clients, vendors, victims, others involved directly, etc.

Queries: who is responsible? Who has discovered the problem? Who’s going to be asked to do the job?

  • The Third W stands for Where?

Analysis: Describe where or where you are.

Goals: grounds, classrooms, classrooms, etc.

Queries: Where is the problem? Is it easy to enter the facilities?

What’s the issue on your machine and where it is located?

  • The Fourth W stands for When?

Analysis: Determine the problem when it takes or may happen.

Goals: Dates, period, duration, etc.

Queries: How long is it? How will the date be installed? So often when does it occur?

  • The Fifth W stands for Why?

Analysis: Describe the explanation or the intent of a working process or the rationale or cause.

Goals: objectives, reasons, rationale, etc.

Queries: What is the target? Why are you targeting a specific goal? Why have you selected this preparation or materials?

  • The Six H stand for How?

Analysis: Decide how steps and the process used. and on another side, it determines the appropriate resources and tools

Goals: processes, methods of management, behaviour, means, and methods, etc. Even it determines quantities, numbers, expenditure, etc.

Queries: In what conditions? How is the Ministry organized? What methods are employed? How is the usage of the resource base?

How much does that cost? Which are the appropriate resources? How many days of man?

Four main attributes are the strength of the 5W1H process:
  • Easy: no preparation or training people to ask that question effectively.
  • Concerted: every time, every problem is the answer to progress.
  • Numerous: it can also be used for creating a new method to enforce corrective action.
  • Detailed: It analyzes every problem with deep thinking and it gives a 3D look to see every perfection.
Conclusion:

The 5W1H method is most appropriate among reporters and lets you structure your thoughts and ask important questions so that a situation can be decoded.

The 5W1H technique, which is also common with journalists, helps you to organize your thoughts and ask important questions to better explain the situation.

It is an irreplaceable method for project management which could be used to develop a communications strategy, to identify a project, or even to handle the crisis.
