How These Two AI Tools Have Saved Me Hours of Time

Have you ever stared at your phone for what felt like 20 minutes but actually, you lost all track of time and space for three hours instead?

That's how I can compare the last year of AI tools in marketing: A lot of noise but which ones will make an impact?

ChatGPT exploded in popularity as the fastest app to ever reach 100 million users in a couple of months (before Instagram's Threads recently beat that record in days) and since the launch of the LLM chatbot, it's been an onslaught of new AI-powered tools announced nearly every day since. It's felt overwhelming at times to keep up with all of the news, try out the products fairly, and see how they can fit into my work processes—if at all.

It's also a brand new way of thinking about information which brings in a new way of doing things that has its own set of unique challenges at both a societal and psychological level.

Since I can't speak to the dangers surrounding Mission Impossible levels of AI, what I can speak to are the tools to help startups and solo marketers compete at a higher level.

After a year and a lot of time and money investment, two of those AI tools stand out from the pack...

1. Otter.ai

This note-taking app should be added to as many meetings as possible. This app plugs into your calendar and auto-joins your meetings, transcribes them, and then creates a list of takeaways. Everyone who attended the meeting gets a copy and can edit or highlight takeaways, create follow-up tasks, and more. All of this for around $200 annually.

Where the magic really happens is what you do AFTER you have these transcriptions.

Let's say you have one person in charge of marketing or a very small team. Hell, a large team can utilize this strategy too, but what you do is use a group email (eg [email protected]) that is added to invites on the sales team calendar. This note-taking app can record the conversation and then create takeaways for the customer plus the sales and marketing teams. Marketing can keep tabs on questions and concerns any prospects or customers make and create a content plan around that—and they can do it all without having to actually attend the meeting in the first place.

These transcriptions can then be fed into an LLM like ChatGPT or Bard, and you can create summaries, whitepapers, briefs, website content, or any other prompts you can think of.

Also think about the meetings you can attend and truly pay attention to the conversation without having to take an unnecessary and inefficient amount of notes.

It's a game changer for any company but ESPECIALLY the smaller teams who can use it to adapt and evolve faster than your competition.

2. OPUS

The toughest part of creating content is the distribution of that content. It took hours, sometimes days, to comb through your own videos to write down a time stamp and then edit a video, cut up a clip, add your branding, and then transcribe the dang thing—all before you create a catchy caption and upload it to a social media platform.

I say it "took" because the product from OpusClip has cut that time to an hour, max.

You simply take the URL of your YouTube video, paste it into Opus, and using AI, they identify key moments in the conversation based on certain words and phrases used. These clips can range from under 30 seconds to minutes long, include company branding, captions, and save you so, so, SO MUCH TIME.

Now, you'll likely still have to edit the correct spelling of people's names and companies; but that's to be expected with any transcription tool.

What's not expected is the price tag of around $150/year for 40+ hours of Opus processing time. That is, frankly, a steal.

If you're creating any kind of Zoom-based conversations, webinars, etc...consider recording them, uploading to YouTube as an unlisted video, and then using a tool like Opus to create social media-friendly clips to generate brand awareness for both yourself and your company.
