How do I take a Back up of the Data in Tally.ERP 9?

 Answer

 Follow the steps mentioned below to take the Back up of the data:

 Simple Steps

 1. From the Gateway of Tally, click on the button F3: Cmp Info.

2. Select Backup.

In the Backup Companies on Disk screen, the path in the Source field will be the current data path (Eg. C:\Tally.ERP\Data)3. In the Destination field, specify the path where the data backup has to be stored. (Eg. D:\Backup\ Dec3108).

4. Select the companies to backup.

5. Accept the screen.

The backup file is stored as TBK900.001 in D:\Backup\Dec3108, as per the above example.

 Detailed Steps

 1. From the Gateway of Tally, click on the button F3: Cmp Info provided in the buttons toolbar or Press Alt+F3 using the keyboard.

2. Select Backup.

3. In the Backup Companies on Disk screen, by default the cursor is at the Name of Company. Press Backspace to change the Source or the Destination.

Source: It is the source folder that contains data for which backup has to be taken, by default it is the Data folder of Tally.ERP 9 (Eg. C:\Tally.ERPData) 

Destination: It is either a folder or an external device (Pen Drive, Portable Hard Disk, etc.,) connected to the same or another computer where the data backup has to be stored. (Eg. D:\Backup\Dec3108)

4. Select the companies for which backups have to be taken from the List of Companies. To stop selecting the companies, select End of List.

5. Press Y or Enter button to confirm at ‘Accept? Yes or No’ to continue taking the backup

The Backing up Companies screen is displayed with the name of the company being backed up and the percentage of the backup process completed.

The backup file is stored as TBK900.001 in D:\Backup\Dec3108, as per the above example.

Note: While taking a backup, if the List of Companies contain one or more TallyVaulted companies, then Tally.ERP 9 allows the user to select a single TallyVaulted company at a time.

How do I restore the backup taken earlier, in Tally.ERP 9?

 Answer

Follow the steps mentioned below to restore the backup taken on another media:

  1. Go to Gateway of Tally, click on the button F3: Cmp Info provided in the buttons toolbar or press Alt+F3 using the keyboard.
  2. Select Restore
  3. In the Restore Companies on Disk screen provide the following paths:
  4. Destination: This is the folder where the backup data is restored.
  5. Source: This is the folder which contains the backup data files, it can be a folder on the same device or another device connected to the computer. 

Note: The Source and the Destination paths displayed in this screen are those which were last used.

  1. Select the name of the company from the List of Companies, for the data to be restored. You can select one or more companies from the List of Companies to restore it. Select End of List to stop selecting the companies.

5. Press Y or the Enter button in response to the query ‘Accept? Yes or No’.

The Restore Companies screen displays the status of the data being restored.

Query

We have a couple of companies belonging to the same group within the same folder. We want to take a backup of all the companies at a time rather than taking backups individual. Do we have to customize this solution?

 Answer

 From Tally.ERP 9 Series A Release 1.8 onwards an option has been provided to take backup of all the companies. While the procedure to take back up remains same this is achieved by selecting the option All Items displayed in List of Companies.

 We had taken a backup of all the companies, is there a provision to restore all the companies within the same folder?

Answer

Yes, there is a provision to restore all the companies from, Tally.ERP 9 Series A Release 1.8 onwards an option to restore all the companies has been provided. While the procedure to restore data remain same, this can be achieved by selecting the option All Items displayed in List of Companies
