In this guide, I'll walk you through the process step-by-step, ensuring you provide accurate and compelling information about your project management experience.


1. Honesty is Key

First and foremost, it's essential to be honest. Your application may be subject to an audit, and any discrepancies between your application and your actual experience can lead to rejection. Ensure all information is accurate and verifiable.


2. Organizing Your Experience

Begin with your most recent project, or your current one if you're still involved in it. Work backward through your project history until you meet the required months and hours. Remember, overlapping project experiences won't count separately; only one of the concurrent projects will be considered for project management experience.


3. Filling Out Project Details

  • Project Title: Start with the project's name, like "Cost Tracking Software Development".
  • Organization Name: Enter the name of the organization where you worked, such as "Company X".
  • Job Title: Your job title can vary; it doesn't need to be "Project Manager". Titles like "Project Lead" or "Cost Controller" are acceptable.
  • Functional Reporting Area and Organization Focus: Choose the options that best describe your project's nature and your organization's primary focus.
  • Project Type: Indicate whether it was Traditional, Agile, or Hybrid. For example, a Traditional approach for a software development project.


4. Crafting the Project Description

This is the most crucial part. Your description should be between 200 and 500 words, covering the project objective, outcome, your role, responsibilities, and deliverables. Avoid industry-specific jargon, focusing instead on project management terminology. The description should demonstrate your role in managing or leading the project.


5. Example Project Description

Here's how you might structure your description:

  • Begin with high-level project objectives, like developing cost tracking software.
  • State the project's outcome, such as improved cost tracking capabilities.
  • Clarify your role in the project, focusing on management and leadership tasks.
  • Detail your responsibilities using PMI's language, emphasizing management and leadership aspects.
  • Avoid technical terms, instead highlighting how you applied project management principles.
  • Conclude with your deliverables, such as the completed software.

Here is an example of an experience for the PMP Exam Application (this is just an example to give you an idea of how to write a well-defined experience; do NOT use this directly when filling in your application form!)
