Hi all,
I see events as event planner but other people don't...it's like when you see a singer, a movie, a ballet, a painting...you see the beauty, the perfection and the art.
You cannot imagine the work behind. The hours of work, of rehearsal, of repeating scenes, hours dancing or singing or painting until it is perfect. You only see the final beautifull work!
The iceberg theory (aka the theory of omission) is a writing style created by Hemingway. According to him, there is always more to a story than what is written on the page, and by omitting details that you already know to be true, you can produce a more captivating read for your audience.
This theory has been applied to several industries but it definitely?applies to events.?
What we see is the behind the scenes during planning and setting up.
We see all the skills an event planner must have
For me it is like a puzzle that we have to put together and until all the pieces are not in their place our work is not finished!
The participants? will only see how perfect it is, how well they are taken care of, how everything runs on time and how the experiences transformed them.
The stakeholder will see the ROI and if their goals were achieved.
Let me tell you a story...
An event already with 200 to 300 participants takes months to be planned however sometimes things happen….or life happens
I got a call from a client that had an event prepared and confirmed in a country in Europe that a month before the event closed frontiers because of Covid ?? ?? ?? and asked if we could do it in Lisbon. As always I have a problem in saying NO and in this case not only knew the client for some years but I also knew the final client as I had already done that same event in Spain twice.
What would you do??
My client was asking for help and she was desperate ... I couldn’t say NO…2 days after we had a first site inspection and then with the help of a fantastic local team and long hours of planning

This story is to tell you that as an event planner I’m sure you would love to have months to prepare and plan…but sometimes that is not the case and you have to decide to say no or yes depending on the context.
In your daily work life you will be planning an event
To say YES or NO is a decision that you have to take after you rationally analyze the context of your present situation. Will you stretch your team to exhaustion ? Do you have a talented team to handle the new RFP ( and we know that the industry is fighting to find talent or just people to work on events!) ? Will this new RFP delay the other events you have on the table?
I know that money has a high value but I deeply believe that it is not only money that drives this industry. If you say yes and the event will not be as perfect as you are used to delivering, will that affect your reputation? In our business trust is key so think if it is worthy to put it in danger. It’s difficult to build trust but you can break it in a second.
