How to prepare Project Story for BA Interviews - Example from LMS project

Here's a Business Analysis project story using the STAR technique for a Learning Management System (LMS) project:

Situation:

I was working as a Business Analyst at a large educational institution that wanted to implement a new Learning Management System (LMS). The current system was outdated, lacked key features, and had a poor user experience. The institution recognized the need to upgrade to a modern LMS to enhance student learning outcomes and improve administrative processes.

Task:

My task as a Business Analyst was to gather requirements, analyze the existing processes, and propose a solution that would meet the institution's needs. I needed to collaborate with stakeholders from various departments, including faculty members, administrators, IT staff, and students, to understand their pain points and define the required functionalities for the new LMS.

Action:

To start the project, I conducted interviews with key stakeholders to identify their specific requirements. I organized focus groups and facilitated workshops to gather insights from faculty members and administrators on their day-to-day challenges and expectations from the new LMS. I also conducted surveys and held one-on-one meetings with students to understand their learning preferences and expectations from the system.

Based on the gathered information, I created comprehensive requirement documents that included functional, non-functional, and user interface requirements. I collaborated closely with the development team to ensure the requirements were technically feasible and aligned with the institution's IT infrastructure.

Throughout the project, I maintained a strong line of communication with stakeholders and provided regular updates on the progress. I conducted demos and walkthroughs of the proposed solution to validate the requirements and gather feedback. I also facilitated discussions and negotiations between stakeholders to resolve conflicting requirements and ensure buy-in from all parties involved.

Result:

As a result of my efforts, the institution successfully implemented the new Learning Management System. The new LMS addressed the pain points identified during the analysis phase and provided a user-friendly interface that met the diverse needs of faculty members, administrators, and students. The system included features such as course management, content creation and sharing, assessment tools, collaboration capabilities, and robust reporting functionalities.

The new LMS improved administrative processes by automating manual tasks, reducing paperwork, and streamlining workflows. It enhanced the learning experience for students by providing access to interactive course materials, online discussions, and personalized learning paths. Faculty members benefited from improved course management tools and analytics that helped them track student progress and tailor instruction.

The successful implementation of the new LMS resulted in increased student engagement, improved learning outcomes, and higher satisfaction among faculty and administrators. The institution recognized the value of the Business Analyst's role in driving this project's success and the importance of thorough requirement analysis in delivering a solution that meets stakeholders' needs.

In summary, this Learning Management System project showcased my ability to gather requirements, collaborate with stakeholders, and deliver a solution that addressed key pain points and improved organizational processes.

Why we are calling this process as STAR technic ,it is come under UseCase study as per my understanding, BA exploring his expertise into- engagement analyst then Change management ensure what better solution can be provide to our customers or Benefit solution with the help of using technology, share what we ca do better, correct if am wrong, I did it earlier my project but don't hear about STAR technique

A well though out answer. The importance of STAR approach in answering to scenerio questions can never be over emphasized.

Was any scope defined before the requirement elicitation began? Else, there would be no end to what all can be included as part of LMS and later the business team would get back saying the features suggested to be way beyond what can be added. Also, was there any UI/UX team involved? Whenever any app or portal or dashboard development is involved which would be end customer facing; it requires a lot of inputs from UX perspective.
