How to optimize Instructor-Led Training with a Training Resource Management System

Managing training can be a daunting task. There’s a want for more – more sessions delivered, more registered participants, more sales, more certifications renewed. But of course, there’s the urgency to use less: less resources, less budget, less time.

So what strategies should be put in place to face this pressure? Interestingly enough, while many organizations invest in costly LMSs, few target the specific processes which can really optimize Instructor-Led Training - even when ILT represents 70% of training delivered. One way through which training organizations can make real gains in ILT efficiency, which is often overlooked, is optimizing resource use.

Doing more... with less

Instructor-Led Training (ILT) has traditionally held a bad reputation when it comes to cost-efficiency, despite the fact that some things are much better taught live than online: 56% of ILT modules are deemed highly effective according to a 2015 Brandon Hall Group study, against 21% for eLearning. Proper resource management can be one way to get the best of both worlds: the stickiness and social aspect of ILT with the cost-efficiency that we all tend to associate only with eLearning.

Training Resource Management System scheduling and logistics tools can help you intuitively build and easily modify the perfect schedule to maximize the occupancy rate of your sessions. You can use it to optimize the use of all your resources, whether it be trainers, venues, or costly tools such as those new 3D printers you are teaching your staff how to operate.

We can’t imagine an airline company which doesn’t monitor its aircraft filling rates – how else would it know how to optimize their use, which represents such a huge part of the company’s investments? Then why is it so rare to see training departments monitor session occupancy rate, resource use and real-time investments?

Interesting but I have a challenge. You quote "Instructor-Led Training (ILT) has traditionally held a bad reputation when it comes to cost-efficiency, despite the fact that some things are much better taught live than online:" This is the paradox and the challenge for learning leaders. If your organisation thinks learning is expensive try ignorance. As learning leaders it is our job to educate those who manage the budget that there are no shortcuts. It is our job to not just train our people but first to change the mindset of our leaders. In the UK companies are crying out for capable managers and leaders and the recruitment industry is complaining about the lack of available talent. These are the same companies that see training as a cost and have failed to invest for years. They are now paying the bigger cost of not seeing training as an investment. A good example from personal experience was when working in a pension company we developed a graduate programme we ran alongside our external recruitment of IFA's The internal programme proved far more successful We retained the graduates for 2.5 years longer on average and they delivered 27% higher revenue (per year) LMS and e-learning platforms appear the cheap alternative and for some things perhaps. But for other things- leadership, team working, coaching, influencing, communication etc they require facilitation. Leadership is a contact sport. It is developed through hard won experience and practice. Not easy to do virtually. The term 'Instructor' led also worries me. For most it is a turnoff. My experience is if i instruct I fail. Anyone with children will agree. As a trainer/ coach /facilitator I don't teach you anything; i can make you think, feel and perhaps act differently by exposing you to different situations, by asking challenging questions and giving you space and time to find answers. My personal opinion is that the move away from effective well designed timely and meaningful face to face training is the biggest single cause of the lack of / weak /poor leadership we are experiencing in every field today.

We work we many innovative Training & Coaching firms, as well as corporate L&D organizations for whom in-person delivery is clearly at the core of what they do. These organizations blend other approaches as enhancements - not alternatives- to their ILT. Considering how large the % of actual training hours delivered remains Instructor-led, it does seem like there should be more general interest and investment in optimizing ILT.
