HOW MUCH TIME CAN YOU PLAN IN A DAY?

Do you over-plan your day and don't get everything that you wanted to do done? Most people do.

The biggest mistake people make is to make inadequate plans - there is just not enough time to complete all the tasks. People in their 8 hours workday write work that needs 10-13 hours to complete.

If you work from 8 am to 6 pm, you may think that there are 10 working hours. Not really - lunch 0,5-1h, coffee breaks, bathroom breaks, stand-ups, totally add 30-120min. Now we are left with around 8 hours, but not all can be planned because you get emails, calls, emergencies, meetings, and colleagues' visits. Real-time that you can actually plan is around 2h before lunch and maybe 2 hours after lunch (for some even way less). So when you plan the next day, you need to think about that and plan accordingly.

This is a hard reality to accept for most busy entrepreneurs but when they accept it, they start evaluating their time better and planning better knowing how much time they actually have.

Remember, if it doesn’t fit into your calendar, it will not fit into your day!

When people leave space for emergencies, usually by the end of the day most of their planned work is done and it brings a good feeling. If you plan every hour and emergencies come, you will get irritated, stressed, and you will carry undone work to tomorrow or the next day.

Check your previous days and look at how much you were truly able to achieve, and how much work was undone, and adjust your future planning based on that. Some people maybe can plan for just 1-2 hours a day, so adjust to that and plan accordingly. And if there are no emergencies, you will always know what to add to those available time slots.

Here's how I teach my clients to plan their days: 1) review what didn't get done the day before, 2) review how much is already on your schedule for the next day, 3) how much time do you need to fill? 4) what can you fill it with (preferably from the day before)? 5) allow room for your plan to breathe. That call will start late/end late, unexpected things will happen, plus, you need to take time to take micro-breaks (less than 5 minutes away from tech, ideally near nature) and just to unplug. Plan purposefully.
