How I use Google Calendar to manage my tasks at HeyOrca!

Using Google Calendar as my task management tool has been a game changer!

And not enough people are talking about how you can use Google Calendar to manage your time and tasks together.

This approach helps me take back my day, and prioritize important tasks.

As part of the #TakeBackYouDay challenge, here's the behind-the-scenes of how I use Google Calendar to manage my tasks as the CEO of HeyOrca

Step 1: List and Schedule

To kickstart my planning process, I like to dedicate Monday mornings to listing out all the tasks I need to accomplish. Initially, I placed them on Sunday as a backlog in my calendar.

Step 2: Prioritize by Importance and Urgency

Once I've got my tasks listed, the next step is to assess their importance and urgency. This allows me to identify and eliminate tasks that aren't important or urgent, freeing up more time for what truly matters.

Step 3: Estimate Time

Estimating the time required for each task is crucial. I always keep in mind that things often take longer than expected, so I try to be realistic in my estimates.

I vary task durations based on my estimates: 30 minutes for standard tasks and 1 hour for deep thinking.


Step 4: Plan My Week

With time estimates in hand, I proceed to arrange my tasks within my weekly schedule. These time slots are now blocked off, ensuring that I prioritize essential activities. To make room for additional tasks, I either use available time or eliminate less important ones.

Pro Tips:

  • For regular tasks, I set recurring events in my calendar to naturally allocate time for them.

  • To keep track of task status, I use different colors on my calendar; for instance, I mark incomplete tasks in red and switch them to green once they're completed.

I use color coding to assign status to tasks and also differentiate the different types of tasks
