How I Break Down My Big Goals Into Tiny Tasks (And Actually Get Them Done)

In my last post, I showed you how I use ClickUp, Reclaim, and my VA to essentially replace my checklists with a "always up to date" calendar.

Today, I want to share something that's been a game-changer for me: my process for breaking down big goals into super manageable pieces.

Here's the thing: I'm really good at creating big goals and dreams for myself, but I struggle to execute because sometimes these goals feel overwhelming or too big. This framework is something that AI recently helped me codify.


Before we dive in, let's be clear - this isn't for everyone:

  • If you have too many goals and are scattered, this isn't for you.
  • If you know all the steps but aren't executing on them because something else is holding you back besides a lack of clarity, this isn't for you.


But if you're still here, then like me, you probably:

  • You're trying to tackle too many goals at once
  • You already know what to do but something else is holding you back
  • You're clear on the steps but just need motivation

But if you're like me and you're great at dreaming big but get overwhelmed when it's time to execute, keep reading!


Here's My Process:

First: Get Those Big Goals Out of Your Head

For personal stuff, I like to think back on what actually made me happy last year. Not what I thought would make me happy - what actually did. Look for patterns there.

For business goals, I just list out all the possible ways to get where I want to go. If I want to grow my business or outreach, it could be through newsletters, social media, whatever.

Sometimes I peek at what competitors are doing too.


Next: Let AI Clean Up Your Messy Thoughts

I use Claude for this (you can use ChatGPT too). Just dump your thoughts in and say "Can you help me format this into a cleaned-up list?"

Pro tip on Mac: I just open up my mac's recorder by double tapping fn on the keyboard. This will transcribe whatever you are saying out loud.


Then: Break It All Down

Here's where it gets good. Ask the AI to:

  • List out every single step needed
  • Tell you how long each thing might take
  • Put it in a week-by-week format based on what's most important and what's easiest to do first


After That: Reality Check

Look at what the AI gave you and:

  • Fix anything that doesn't make sense
  • Put in your own time estimates (you know yourself better than AI does)
  • Mark what's most important


Optional: Get Your Timeline

Feed it back to AI one more time and ask for a day-by-day breakdown for the next 3 months. I literally just say: "Take these tasks and tell me what the next 3 months look like. Include all the steps and timing, and make sure nothing overlaps."


If this all makes sense, then take it and get these steps into your calendar
