Qualifications
Varying levels of qualifications are required for an administrative assistant job depending on the employer and sector. Some may be more concerned with prior experience and skills, whereas others may want formal qualifications. GCSEs and A-Levels will generally be required, or an apprenticeship in administration or sometimes a degree.
Two to three years of clerical, secretarial or office work experience would be a benefit, but this is not relevant if you are just starting out. Proficient computer skills, including Microsoft Office and WordPress, are needed, as are strong verbal and written communication skills, and the ability to comfortably routinely shift with different demands is a must.
Ideal skillset
Many jobs fall under the administrative umbrella, including clerical assistants, executive assistants, office clerks and receptionists. Responsibilities vary widely from one company to another, but in general, someone in an administrative assistant position will manage the flow of information and provide office support.
Ideal candidates will need good organisation skills, have excellent attention to detail, be able to problem-solving and be able to communication competently. Time management is key, as is the ability to work independently using your own initiative, and of course, you must have a willingness to learn.
A good typing speed with accuracy is beneficial, and bookkeeping will set you apart. Knowledge of general office and IT equipment will be needed, generally training will be given for a company’s own systems. Additional skills that will be useful are filing, data entry, plus scheduling meetings and travel.
