How flexible are you with your dates?

Before contacting a venue or briefing a venue finder to help you with your meetings, conferences or events, you might want to think about your dates!

Not having dates, can be difficult to get quotes.

Not having dates for an enquiry can make it difficult to get a quote from a venue, however, it's not impossible. Venues can provide an approximate cost but are unable to give accurate costings until a specific date is requested. Pricing for meetings and events vary depending on demand, the day of the week and also the time of year. Rates will also vary at different times of the year. For non-tourist locations, meeting rates will drop through the summer and school holidays.

How flexible are your dates?

How flexible are you? You might want to consider being flexible on the dates. Venues may come back and advise they don't have your required date available. If you are flexible, they may offer alternative dates for the same week. Further in advance, a venue will try to avoid taking a large booking for one day on a Wednesday as it can block them selling a multi-day event and isn't good practice. You might want to consider a Tuesday or Thursday?

If you don't mind holding your meeting on Monday or Friday, there are venues that will offer discounted or lower rates for these days of the week.

I totally agree with your post Mark. One of the first things venue's say is, what dates were you thinking? They then look at their availability. Where there's a venue that's constantly being booked up it actually makes sense if possible to try to get in early to avoid disappointment.
