How do you know what technology is right for your event?

Technology can be daunting!

Especially when you are not accustomed to working with technology as a core part of your role.

However, that has changed dramatically in the last decade in the events industry!

And, as an event professional, it important to understand the pivotal role that technology now plays in creating successful and memorable event experiences for our clients, businesses and attendees.

Regardless of what kind of event it is, technology can elevate every aspect of an event,?

From registrations to post event engagements.

However, with all the event tech that is out there these days, it can feel like navigating through a maze!

So, how do you choose the right tech that aligns seamlessly with your event objectives and leaves a lasting impact for your audience?

In this article we explore just that!

  1. Understand the vision and objectives for the event.

When taking an event brief, the first step is to always understand what your clients / stakeholder's vision is for the event – what do they want it to achieve?? It is networking, driving attendee engagement, showcasing their products? By gaining this understanding you can then tailor technology recommendations that complement the event objective.? For example, if the priority is to increase attendee engagement, look at using an event app that has interactive polling, Q&A or gamification.

  1. Research and demo suitable technologies.

With so many options out there, staying informed of what is in the market is essential.? Dedicating time to doing this research, meet with different suppliers throughout the year so you can source and evaluate the available solutions which is right for your business and event will help to make your decision for your next event a lot easier, and quicker!

  1. Prioritize scalability, integration and support

When choosing event technology, make sure you consider platforms that offer scalability, seamless integration with your existing systems and have reliable support!? Particularly if you run yearly events, they always grow and evolve year on year so having technology that can support this is imperative.? Look at the additional features the platforms offer, is it easy to add modules, what’s the data security and hosting like.? What other systems and platforms does it integrate with to ensure you can streamline processes.? And make sure the vendors you are looking at have responsive customer support and training resources so when you need assistance throughout the event planning, they can quickly address and support any issues or challenges that will inevitably come up!

Choosing the right technology is not just about the latest and greatest thing that comes to market.??

It’s about strategically thinking about what the event objective is, what your client wants to achieve and the kind of experience you want your customers to have whilst engaging with it.

This will support you to confidently select the right event tech that will elevate your event to new heights of success and leave an impact with your audience!
