How Data Migration Impacts SaaS Software Implementation Risks and ROI

As companies evolve and change over time, so do their data management, reporting, and software needs. I have seen it time over time - the underestimation of data migration when purchasing a new software platform. When purchasing a new software to upgrade processes and systems, consider upgrading existing data with equal importance. Here’s why:

When customers ask us about its cost and duration, it’s tempting to underestimate, undervalue, or forget about the complexities surrounding data migration. In all of these cases, the cost is high and is becoming higher as the world continues to thrive and drive off data.

Here are some tips on how organizations can protect themselves from a situation where they need to migrate to a new software system and hit major obstacles, costs, and delays from data migration:

  • Have a well documented database architecture
  • Ensure multiple resources understand the database structure and field definitions
  • Ensure your application has controls that limit or prevent bad, invalid, or empty data that may be critical to business analytics and reporting
  • Reduce redundant database systems that overlap with one another and define a single source for each data set

To ensure your legacy data is preserved during the software adoption process, remember to include adequate planning time for data and document migration as part of the implementation plan. It may be hard to plan for this especially without an initial data discovery process.?

Legacy data can be a box of surprises. It is helpful to consult with resources knowledgeable in data migration tactics, along with those having strong familiarity with your legacy database(s) and condition of your data. In some cases, there are opportunities to significantly improve the quality of your data during data migration. Automation can fill in, cross check data for anomalies, and update data that may require additional clean up. This clean up process may involve data conversion or purging of invalid data. The results of a solid data migration process can yield outstanding results and value for a business that increases software ROI. This ROI then grows over time as new data is added from within the new system and new reporting tools include legacy data. Has it really been several decades? I recall the challenges even back then and the Innovations we applied which were revolutionary in their context but invoked fear in those of the Change Control world. The example I cite is the challenge of having to do development on MS sql server and apply all data and schema to an IBM database. Designing the application to scan the Microsoft schemas and data sets and convert them into a single executable web page was one of the Paramount requirements for deploying software that would modernize the organization while dealing with an internal software upgrade that had taken more than a decade and was still not even in beta. There's always risk involved in doing anything worthwhile. If anything the longevity of your organization stands as a monument to the correctness of the principles you operate under.
