How To Create A Press Kit

A press kit, also known as a media kit, is a pre-packaged set of marketing materials that promote a person, business or cause.
Media kits are an excellent way to introduce the brand to people?who may be unfamiliar with it, such as journalists, influencers, guests or prospective clients.
It's a first impression, so the materials should make people want to learn more about your brand, provide coverage of your company and answer the question: “What do I need to know or is so special about this business?”.
While a media kit is a collection of information about the brand, not all media kits will look the same. In fact, a creative media kit that showcases the brand’s personality, is much more likely to be successful than a simple set of documents.
MEDIA KIT HISTORY
When media kits were first developed, they were folders containing typed paper and black and white photographs.
An Apple media kit from 1993 even included physical slides showcasing their newest technologies. Media kits used to be presented following a pitch at a press conference or other large events but starting in the early 2000s, the best practice shifted to individualised pitches via email.
Today, some media kits are pitched via online newsrooms attached to a company’s main website that features all of the company’s most relevant news and public relations information.
Online newsrooms became best practice a few years ago in the west (Asia has yet to catch up) and they serve as a replacement to PDF format media kits. Media kits that are live on online newsrooms are easy to update, more user friendly, and are able to be indexed by search engines for more online visibility.
Throughout the years, one thing has remained the same: the purpose of a media kit is to act as a one-stop shop of information for a journalist or media source to write a feature on the company.
WHAT TO INCLUDE IN A MEDIA KIT?
The options for customisation for a Media Kit and additional information are nearly endless, but the following are good places to start:
? An about section that describes the brand and the company’s history
? How to get in contact, links to social channels, and the availability for interviews or consultations (if applicable)
? Statistics on the brand, including date launched, headquarters, employee count, customers served, etc.
? Links to, and excerpts from, press releases and big announcements that the company has made
? Media assets, including the logo, headshots of key employees, screenshots from the website, and product videos
? The mission statement and goals for the company’s future
? The offer to potential clients and partners
? Sponsorship guidelines (rarely done here but it should be) such as posting frequency, words to use when describing the brand, and what types of content the company is willing to pay for
? Why users should care about the products, what problems do they solve and how it can improve their lives with them
WHO WILL SEE THE MEDIA KIT (& WHY IT MATTERS)
Media kits are essential tools for journalists and content creators who come to the website seeking information for media coverage. A media kit provides all of the details they need, which means they don’t have to contact the company directly.
While this is a definite perk, it also means that the media kit needs to be the best possible representation of the brand. In this sense, the media kit replaces a phone call, interview, or face-to-face introduction that may have been had with the person writing about the business.
Media kits are also a particularly helpful tool for initiating partnerships with influencers and other brands looking to promote themselves and their products. Direct influencers to the media kit or they may come across it on their own.
Either way, it’s important to use the media kit to brag about the company’s success. In this sense, the media kit is like a resume that shows potential business partners what the brand can offer them and why they should choose to work with the company.
BENEFITS OF MEDIA KITS
In today’s world, especially in light of the COVID-19 pandemic, business is becoming increasingly digital. Digital media kits, housed either on the company website are beneficial to media targets.
Media kits are future-proof and adaptable. Whether the company is looking to promote its media kit on social media, feature it in a post on LinkedIn, or send a link to a content creator via Instagram DMs, it can link a media kit on any platform.
Additionally, the company has the option to make updates to a media kit as needed and fix any errors that are noticed post publication.
There’s no reason to stress about typos that were printed on 100 physical copies of materials. A digital media kit also gives complete control over the media that journalists will use in their coverage of a brand. Create compelling visuals that illustrate a brand’s narrative and make the company more appealing.
The media kit featured in Stripe’s newsroom offers resources, press coverage, user stories, and brand assets all in one place.
Overall, a strong modern media kit should increase inbound PR attention and provide journalists with the information they need to want to feature the brand.
CREATIVE MEDIA KIT IDEAS
Formatting for media kits varies from company to company. Some look like resumes, using bulleted lists, while others use infographics and visuals to convey valuable information about a brand.
While most media kits today are digital, some brands still utilise physical media kits for large events such as conferences and conventions.
I’ve assembled a list with a few examples of different types of media kits that may work for a brand:
? Media kits for events, such as San Diego Comicon, need to be focused on day-of details to ensure successful coverage, such as date and time, key speakers, and panels
? The media kit for Sephora, a cosmetics and beauty product company, offers their mission statement as well as details on their Beauty Insider program and mobile app
? To impress top media targets, sending a physical press kit with a personalised letter of introduction and product samples can be a good way to stand out
? Online graphic design programs like Canva offer quick, easy, and customisable templates for media kits that may fit your brand
? Customer service company Zendesk even incorporates interactive elements into their media kit, dubbed “Brandland” that allow visitors to learn about the brand, find resources, and ask questions

MEASURING MEDIA KIT SUCCESS
A successful media kit should use the most informative, concise, and engaging content so it can draw in readers and potential sponsors.
It’s a great place to show off successes and prove to other brands and journalists why the company is a valuable asset by displaying statistics and testimonials. Images of work, products, and staff also add a personal touch.
While the purpose of a media kit is to attract press coverage and influencer partnerships, it’s also important that the company uses it to define a target audience.
By including sponsorship guidelines for influencers, etc., it can exercise some control over who chooses to write about and how they portray the brand. In short, the media kit is one of the best ways to market itself to potential brands and investors — make sure that it counts!
LASTING IMPACT OF A MEDIA KIT
A media kit is often the most significant, and sometimes the only, representation of the brand that journalists, media outlets, and influencers will see.
No matter how they look, how detailed they are, and what form they take, the goal is all the same — give prospective media/influencer/brand every reason (and opportunity) to want to contact you.
A media kit can be a make or break opportunity for the brand. A strong media kit that is both visually compelling and exceptionally informative, shows potential partners that you are organised, meticulous, and professional.
It makes a journalist’s job easier, eliminates the need to prepare lengthy pitches, and, most importantly, makes visitors feel like they are getting to know your company.
In the digital age, trust is the biggest component for a successful business.
If consumers and journalists trust the company, they’ll want to follow and work with it in the future. Now, the company has all the resources it needs to create a successful media kit that shows off the brand.
WHAT TO INCLUDE IN AN ONLINE PRESS KIT?
Although some businesses still engage PR firms to send traditional press kits, most have recognised the advantages of moving their press kits online. If a business does not have a press kit, then there would be no way for it to provide valuable information to the media/public. An interactive and interesting press kit includes story ideas, audio and video clips, fact sheets, backgrounders, testimonials, and virtual tours.
The best press kits make it convenient for journalists to learn about a product or brand and to access information and photos they can use in a feature. The components of a powerful and effective press kit that would provide value to customers and help build visibility is as follows:
Company History
Three or four paragraphs can be used to give a recap of a company’s major milestones, including the founding date, major product launch dates, expansions, significant awards, and other news. The final note can mention the most important recent news.
Backgrounder
For a reporter, a backgrounder is helpful as it contains the history of an event or product. A well-crafted backgrounder increases the credibility of a brand and the chances of getting published by a media outlet. Major companies like Petronas may not need to include a backgrounder as most media outlets would have heard of them. For smaller businesses it is wise to include a backgrounder that highlights important information about a business. For example, a company that has hosted a golf tournament for decades can have a backgrounder with headings like, ‘Celebrities who have played at the [Brand Name] Invitational Open.’
Fact Sheets
A fact sheet is a very brief and concise recap of the items a reporter needs to know to give a company accurate coverage. This includes product names, pricing, where to purchase, number of employees, what sets the business apart from competition, and other key information. It might also be useful to include FAQs especially if the product or service is technical in nature and?changes on a regular basis. The press kit of Fast Company is an excellent example. It is comprehensive, visual and up-to-date.
Staff Bios
Staff bios with headshots to make a business look more humane, and to help provide insight into its leadership vision. It is also important if there is a member who can appear for interviews, expert commentary and speaking engagements. The bios can include current roles and how they can help the media.
Press Releases
Recent newsworthy announcements also form an important press kit element. They should be recent and be regularly updated to keep things fresh. Not only does this enable a reporter or a prospect to find important news at a glance, but it also increases search engine hits mentioning a company and its products. The press release headings should clearly and concisely describe their content so that it is easier for media looking for specific announcements.
Testimonials
Short audio clips can be used from recent speeches and testimonials from clients. The audio clip can be accompanied by more photographs for even more punch.
Multimedia Elements
Digital photos of major products in various sizes and resolutions can help bloggers and reporters feature a business. Short videos can also be used for product demonstrations. 360-degree photography can show products to their best advantage. Downloadable product specification pages are also helpful. Clips from videos of recent webinars can also be used.
Contact Information
To avoid missing any opportunities it is wise to indicate who is the best contact for press enquiries, and to include ways by which that person can be reached. The contact has to be someone who consistently checks their email or voicemail.
PRESS KIT ESSENTIALS
Regardless of what it's called, it’s an important element of business operations. Companies should see press kits as a short résumé for their businesses, full of the best, and most curated content. Both big and small companies can benefit from creating their own press kits, which should be made available at all times. A press kit is any set of curated assets and resources that are selected to communicate a company’s brand and tell its story.
Back in the day, journalists told these stories, but these days anyone from influencers to bloggers, to average consumers can benefit from seeing a company’s press kit.
Instead of companies having to pitch their entire products or services to every potential journalist, partner, customer, or investor individually, the press kit can do most of the work.
With the help of a press kit companies can paint an accurate picture of themselves for anyone that wants to hear it. It’s also the best and fastest way to share any important information about a business with anyone that is looking.
Back in the day press kits were manually sent on a thumb drive, a CD, or even printed and sent to journalists. These days they’re generally hosted online or sent via email as an attachment or a downloadable link.
In fact, hosting a press kit on a company’s website has become an industry standard. This standard gives companies a lot of freedom to keep all of their press kit content fresh and updated so that any person looking for that information can get the most recent data.
Which Companies Need a Press Kit
Although press kits are mostly utilised by big brands and corporations, thanks to the Internet, any business can create its own press kit, even small businesses selling digital images on Etsy, or small bloggers catering to niche audiences. Press kits are great for creative professionals too, such as artists, and filmmakers. Essentially, anyone that’s trying to get media coverage or communicate their brand to the rest of the world needs a press kit.
Essential Press Kit Elements
Whatever a company decides to include in its own press kit is going to be very specific to its niche or industry. However, there are a handful of items every press kit needs to have, including the most important information about the business, and biographies that showcase the staff and their accomplishments.
They also need to have testimonials and quotes from other people who have used the company’s products or services, high-resolution images and logos, contact information, a fact sheet about the products or services, as well as links to all of the company’s social media accounts.
