How to Choose the Right BPO Company
So you’ve decided to outsource your service operations to improve efficiency, reduce costs and increase customer loyalty but you have no idea how to choose the right vendor.?
Figuring out where to start can seem daunting and understandably so. The global BPO market size was valued at $53.61 billion in 2021 and is set to grow from $57.67 billion in 2022 to USD 110.74 billion by 2030. There are 286,881 BPO companies in the US in 2023 and this doesn’t even take into account the African, Indian, Philippine, or Chinese markets (amongst others).?
In this article, we will share a few tips to help you when choosing a BPO company.??
1. Define your goals and set expectations
The first and perhaps the most important thing is to ask yourself why you are outsourcing in the first place. What do you hope to achieve and how do you plan to measure that? What business goals can outsourcing help you reach? What expectations do you have of the BPO company you hope to bring onboard? Answering these questions helps keep your intentions and goals at the forefront of your mind when picking a vendor.?
The flip side of this is jumping on the bandwagon and choosing a company that is maybe popular instead of a good fit for your needs.?
2. Research, research and more research
Now that you’re clear on your goals, it’s time to find viable options. Remember how there are so many BPO companies out there? The research phase allows for due diligence and finding the right vendor for you. Do they have the technical expertise to handle your project? What do their current and past clients say about them and the quality of work they do? Etc.?
After shortlisting a few options, you can also ask them to provide samples, or demos of their previous work. Some companies even offer free trials and you should definitely take advantage of that. All of this is to make sure that they have the right resources, processes, and systems to support your needs and goals.?
However, it is important to note that all of your research should not only focus on the technical aspects. You must consider how well the outsourcing partner fits with your culture, values, and vision. The vendor you choose should be one that understands your business, shares your goals, and respects your standards.?

3. Communicate?
Look, there’s no successful relationship without clear communication and yes, this applies to outsourcing vendors too. You need to talk about your budget, the scope of work, deliverables, timelines, service level agreements, payment schedules, quality assurance, confidentiality, dispute resolution, and termination clauses. Ask as many questions as possible and encourage the vendor to do so too. Communicating openly and honestly reduces the risk of misunderstandings and a bad experience for either party.?
4. Sign the contract
If you have gone through each of the steps above and are confident in your choice, go ahead and sign the contract. Congratulations, you now have an outsourcing partner to help you reach your goals.?
In conclusion, remember that there are many good options when it comes to outsourcing but finding a great partner that’s the right fit for you doesn’t always come easy.?
The outsourcing relationship doesn’t end when you exchange contracts or documents. It's also important to maintain a strong relationship with your outsourcing partner as you want to build trust, respect, and collaboration.
