How To Automate Your Lead Generation Workflow With Zapier and Slack

Today, I want to show you a simple workflow automation that helped me streamline my lead generation process.


Before I begin, I want to emphasise the importance of workflow and automation in Digital Marketing. We’re often bombarded with ways to make money online but rarely given practical tips on organising workflow.


I’d like to change that in this letter.


One year ago, I started spending money on TikTok to generate leads. Matt (my business partner) and I went through a planning process and focused heavily on delivering content to convert a viewer into a lead.


It was great. Leads were coming in from TikTok’s native lead generation form at an affordable cost.


We just had one issue.


I had to log into the account daily to download the lead form. So, we decided to automate the process.


For this automation to work for you. You’ll need the following tools.


  • Zapier
  • Slack
  • Google Sheets
  • Google Forms
  • Gmail


Our goal was to automatically download leads from TikTok into Google Sheets, followed by an email sequence and notification in Slack.

Getting the leads out of TikTok

Task one moved leads from TikTok’s native lead form into a spreadsheet. To do this, we created an account with Zapier and searched for two Zaps:?


  • TikTok lead forms
  • Google sheets.


Zapier is a workflow automation software that automates your work across 6000+ app integrations. I’ve used it for quite some time, and it’s an excellent productivity tool.


The next stage was to add an event to trigger.

Once the workflow automation was set up, we tested it.


Testing your automation will confirm that it’s pulling in the correct data.


We attached a Google sheet now that we had a working trigger.


There are two parts to focus on when pulling into a Google sheet.


  • Creating a new spreadsheet row when a new lead is available.
  • Mapping each column correctly.

A simple data transfer eliminated the need to log in to TikTok and download the leads.


Slack Notification

Next, we wanted to create a notification in Slack. We created a Slack thread called ‘op-leads’ and began building an automation that connects Google Sheets with Slack.


Again, we needed to map the correct column with the information we wanted to appear in the thread.


We included the following info.


  • Name
  • Email
  • Company name
  • Website

This automation provided visibility to the team. Every team member involved in the lead nurturing process would be notified via Slack whenever a lead came from TikTok.


Automated email

The difference between a lead on your website and a third-party platform is that a third-party platform won’t connect you with the prospect. To solve this problem, we created an automatic email follow-up sequence with a link to schedule a discovery call.


We began with a 3 part email sequence, and here’s how we set it up.


We returned to Zapier and connected TikTok’s lead form to an automated Gmail response. You want your email to follow up immediately, so include a Calendly link or some way for the prospect to contact you. We led with the following subject line and body text.

We then sent follow-up emails, including a Google form for prospects who didn’t respond after 10 days. Collecting this data would improve our lead nurturing process, so we set up a new thread in Slack to notify us of any Google responses.

We now had two ways to segment leads in Slack: the first for ‘new’ leads and the second for new leads but ‘not qualified’.


Conclusion

During the trial campaign, we generated 46 leads from TikTok for under £5. We followed up with all 46 leads automatically, which allowed us to focus on converting them rather than managing them.?


If your sales process is more complex, you can connect leads with your sales CRM to scale further.


By introducing an automated lead workflow, we:


  • Saved time
  • Automatically qualified our leads
  • Got the whole team involved
  • Booked more calls
  • Won more business


If you want to implement something similar, I’d encourage you to think through your email follow-up sequence. I’d include up to five emails before closing with the survey form. It allows a prospect to discover your email.
