How to Achieve More in Less Time

Do you ever feel as though you have too much on your plate and not enough time to get it all done? Do you find it difficult to remain motivated and focused during the day? Do you aspire to work faster while producing more quality results?

This post is for you if you provided a yes response to any of these. Whether you work from home or in an office, I'll share with you some advice in this piece on how to increase your productivity. These suggestions will assist you in increasing your productivity, effectiveness, and job happiness.


Tip 1: Set SMART goals

One of the first steps to being more productive at work is to set clear and specific goals for yourself. Goals help you define what you want to achieve, why you want to achieve it, and how you will measure your progress. A good way to set goals is to use the SMART criteria:

  • Specific: Your goal should be clear and precise, not vague or general.
  • Measurable: Your goal should have a way to track your progress and success, such as numbers, percentages, or deadlines.
  • Achievable: Your goal should be realistic and attainable, not impossible or too easy.
  • Relevant: Your goal should align with your values, interests, and priorities, not someone else's.
  • Time-bound: Your goal should have a specific timeframe or deadline, not be open-ended or indefinite.

For example, instead of saying "I want to write more blog posts", a SMART goal would be "I want to write one blog post per week for the next three months".


Tip 2: Plan your day

Another way to be more productive at work is to plan your day ahead of time. Planning your day helps you organize your tasks, prioritize your activities, and manage your time. A good way to plan your day is to use a daily planner or a calendar app. Here are some tips on how to plan your day effectively:

  • Review your goals and tasks for the day and rank them according to their importance and urgency.
  • Estimate how much time each task will take and allocate enough time for each one.
  • Schedule your most important and challenging tasks for when you have the most energy and focus, usually in the morning or early afternoon.
  • Schedule your less important and easier tasks for when you have less energy and focus, usually in the late afternoon or evening.
  • Block out some time for breaks, lunch, and other personal needs.
  • Leave some buffer time for unexpected events or emergencies.

For example, a sample daily plan could look something like this:

8:00 am - 9:00 am: Write blog post (high priority)

9:00 am - 9:15 am: Break

9:15 am - 10:15 am: Respond to emails (medium priority)

10:15 am - 10:30 am: Break

10:30 am - 11:30 am: Attend meeting (high priority)

11:30 am - 12:30 pm: Lunch

12:30 pm - 1:30 pm: Research new topic (medium priority)

1:30 pm - 1:45 pm: Break

1:45 pm - 2:45 pm: Edit blog post (high priority)

2:45 pm - 3:00 pm: Break

3:00 pm - 4:00 pm: Update social media (low priority)

4:00 pm - 5:00 pm: Buffer time


Tip 3: Eliminate distractions

A third way to be more productive at work is to eliminate distractions that can interrupt your flow and reduce your concentration. Distractions can come from both external sources (such as noise, people, or notifications) and internal sources (such as thoughts, emotions, or impulses). Here are some tips on how to eliminate distractions at work:

  • Turn off or mute your phone, email, social media, and other notifications that are not essential for your work.
  • Use headphones or earplugs to block out noise from your environment or listen to music that helps you focus.
  • Work in a quiet and comfortable space that has good lighting, ventilation, and ergonomics.
  • Communicate with your colleagues, clients, or boss about your availability and expectations. Let them know when you are working on something important and need uninterrupted time.
  • Set boundaries with yourself and others

For example, avoid checking your phone or email every few minutes, say no to requests that are not urgent or important, and delegate or outsource tasks that are not your core responsibility.
