Hosting and Moderating with Cvent: A Dual Role with a Touch of Fun

Recently, I had the pleasure of serving as both the emcee and moderator for an event alongside Cvent. These two roles, though related, require distinct approaches, and I wanted to share some key insights on how to excel in both positions while ensuring the event remains engaging and seamless for the audience.

The Transition from Emcee to Moderator

Being an emcee is about energizing the room and guiding the flow, while moderating requires you to dive deeper into the conversation, balancing time and engaging the panelists. One of the key transitions I focus on is how to switch gears while keeping the audience hooked—adding a touch of humor or light sarcasm helps to break the ice, especially during a lengthy session.

Preparation is Key: Know Your Panelists

One of the most crucial aspects of moderating is knowing your panelists ahead of time. Understanding their backgrounds, how they prefer to be addressed, and which questions will spark meaningful dialogue is essential. This preparation builds the confidence to lead the discussion smoothly and avoid awkward pauses or tangents. I also make sure to meet my panelists on the day of the event to go over key points once again. This helps build rapport and ensures we’re all aligned.

Mastering the Art of Moderating

Moderating isn’t just about asking questions; it’s about managing the conversation. Here’s what I focus on:

  • Body Language: How you sit, stand, and interact is critical. I make sure to sit comfortably but with authority, maintaining eye contact and an inviting posture.
  • Time Management: Keeping track of time is essential to allow for Q&A while ensuring panelists don’t take too long to answer. Knowing how to gently steer them back on track is an art form.
  • Audience Engagement: Even during a panel, I ensure the audience feels involved. Asking them questions, checking in on their thoughts, and relating discussions to their experiences adds tremendous value, especially when your audience comes from industries like events and marketing.

The Importance of Delivery

As the moderator, your tone and delivery set the pace of the conversation. I like to sprinkle in light humor and ask open-ended questions to keep the session dynamic. The way you stand while introducing panelists and how you walk the stage can also influence how the audience perceives the discussion—confident and relaxed yet engaging.

Balancing the Event Flow

Whether moderating or emceeing, the flow of the event is in your hands. I continuously work on transitions between sessions, making sure there’s no dead air or awkward pauses. A small joke or an observation goes a long way in maintaining the room's energy.

What about you?

If you’ve ever hosted or moderated an event, what strategies have worked for you in terms of preparation or engaging the audience? Feel free to share your tips or questions in the comments! I’d love to hear your thoughts.
