Technology has paved the way for many businesses, regardless of size, to pursue growth and expansion in many ways. The logistics behind the setup of new functional departments, branches, regional offices, and even offshore delivery centres is becoming less complicated with the advent of innovative business tools and techniques. But with growth comes the influx of fresh recruits who require familiarisation to your corporate identity. The same goes for keeping existing employees and company stakeholders in the loop of what is happening in and out of the organisation.Growth towards an enterprise-scale business means that information will be very critical, especially when transmitting it to the management team. Information serves as a resource for employees to make better decisions at work, perform more efficiently, socialise with others positively, as well as having a healthier outlook of the company. Communicating information effectively in a large organisation signifies that all of its employees are all significant members of the team. The following are some heavyweight solutions relating to how you can promote effective enterprise-wide communication:
1. Employee Website – it is important that your employees have access to a secure company portal anytime, anywhere. Intranets should be replaced with staff websites because everyone in your organisation should be able to receive announcements even if they are out of the office and even if they are using their own personal smart devices. Websites also offer a host of features which you can utilise to broadcast messages in varying media – text, graphics, presentations, video and audio files.
2. Official social media employee pages – Social media is inevitably one of the strongest contenders for delivering company information. Big ticket global enterprises like Apple and Citibank interact with their employees worldwide by posting announcements, links, tips, messages from top bosses, and even inspirational messages on sites like Facebook, LinkedIn, and Twitter. Your platform of choice will depend on your company’s communication goals and the type of audience that you have. The secret is keeping your social media personalised, updated and as engaging as possible. You need to be able to respond to their comments and messages instantly as well.
3. Chat-based employee support messaging tool – Communication for it to be effective should be made two-way wherein the recipient is also empowered to instantly react and collaborate. The company will also be able to gather feedback about an announcement through this tool. However, this will need a dedicated person who will monitor and manage all incoming messages.
4. Live event webcasts – this will be extremely useful most especially for companies that have branches or regional offices elsewhere. Employees based in these offices should have a live feed to all important events happening within the head office or in a specified venue. This will promote the feeling that it is your goal to make everybody within the company aware and informed, and that you want them to witness the event as it unfolds. This may be a major effort logistically and so you also need to record everything on video so you can share it to your employees later.
5. Managers as “Info-Marshals” – Department managers should be assigned to function as info-marshals who will ensure that information is properly shared to every employee within their designated teams and gather feedback, if there are any. He or she should also keep their office available for talks in case employees want to discuss the information on a more personal level.
