In one particularly chaotic meeting, the session buzzed with overlapping conversations, slides flickered on and off, and my pen couldn't keep up with the flurry of ideas and tasks being thrown around. It was a classic case of too much said and too little captured, leaving everyone with a vague sense of direction but no clear next steps. Frustrated, I went looking for a solution.
Enter the era of AI-powered note-takers. I’m sure you’ve seen them in your online meetings - tools like Fathom, Otter.ai and Fireflies.ai, promise to transform meeting dynamics. By accurately capturing discussions, highlighting key points, and even suggesting follow-ups, they offer a solution to the age-old problem of managing meeting documentation and follow-up. They promise that introducing AI note-takers in meetings can make conversations more meaningful and outcomes more impactful, but I was skeptical.
The Problem of Traditional Meetings
If you’re like the average executive, you spend a large amount of time in meetings. According to Harvard Business Review, executives spend on average 23 hours/week in meetings! Yet, this same study says 71% of professionals find meetings unproductive and inefficient, with 64% stating that meetings hinder deep thinking. Part of the struggle of traditional meetings lies in capturing essential discussions efficiently, leading to missed details and inefficiencies. This common scenario involves frantic note-taking, resulting in incomplete or unclear minutes, and the dilemma of being present versus documenting conversations. Solutions like dedicated human note-takers or audio and video recordings have their drawbacks, such as sidelining team members or requiring time-consuming reviews. This sets the stage for exploring innovative methods that allow for fully present participation and accurate documentation, highlighting the need for both engagement and record-keeping in meetings.
Why Fixing Meeting Challenges Is Hard
Navigating the complexities of capturing effective meeting notes—due to the dynamic nature of conversations, human limitations, and the intricacies of integrating AI—is a pivotal challenge addressed in this article. The difficulty lies in the nuanced, spaghetti-like flow of discussions, human biases, and the technical challenges of AI adoption. My goal is to help you understand how to extract the maximum value from your meetings by describing how I’ve overcome these hurdles using AI note-taker tools and ChatGPT.
My Solution
I had seen Otter.ai and Fireflies.ai popping up in virtual meetings so I decided to explore what they could do. I tried them and frankly, I was underwhelmed. Although the video and automated transcript was helpful, I still had to search through them to find what I needed. But then I tried Fathom. Their paid tier has automated summaries, action item extraction and video annotations. Wow, now I could see what was possible! Once my free trial of Fathom ended, I decided to explore what ChatGPT could do with the Fathom transcripts.
My preferred workflow uses a combination of Fathom and ChatGPT. I use the free tier of Fathom to capture the essential information during the meeting discussions. Fathom provides a video recording and synchronized transcript of the meeting, accurately capturing each participant’s contributions. Once the meeting is finished, I use GPT-4 in my ChatGPT Plus paid subscription to analyze the transcripts for deeper insights. These tools have significantly improved my approach to meetings, making them more effective and less time-consuming.

1 年Thanks for the analysis; I’ve been curious about this functionality. I bet Microsoft will have these features (summarize minutes with actions & decisions) as a standard feature of Teams soon enough. I’m even surprised it’s not there yet :).
