Now, let’s turn to something foundational yet often overlooked: community guidelines.

Picture this: your community is growing and full of life. But then things take a turn—disputes flare up, rumours spread, and trust starts to waver. This, my friend, is where clear, thoughtful guidelines come in. They aren’t just rules; they’re the backbone that keeps your space positive, engaging, and inspiring. In the 16th edition of our Kindred newsletter, I’ll show you how to create guidelines that protect, engage, and empower your community. By the end, you’ll have the tools to craft a set of guidelines that feel welcoming, not restrictive. Let’s dive in!



Why Community Guidelines Matter

Imagine a scenario where an online book club becomes chaotic with spammy self-promotions or heated debates that veer off-topic. Now contrast this with a community where clear, values-based guidelines promote respectful, relevant interactions. The difference? It’s like night and day.

Guidelines keep things balanced. They provide:

Respectful Interactions: Members know what’s expected, creating a culture of respect.

Focus and Relevancy: Clear rules help keep content and discussions on track.

Legal Safeguarding: Guidelines minimize legal issues by addressing privacy, content standards, and interaction boundaries.

  2. Core Values: Share the community’s core values. If you’re building a wellness group, your values might be “Respect, Encouragement, Openness.” Core values set the tone for every interaction.
  3. User Conduct Rules: Outline behaviours that align with your community’s values, like “respectful communication” or “no hate speech.” Consider adding specifics for digital etiquette, e.g., “No ALL CAPS for emphasis.” This section can make or break your community vibe.
  4. Content Standards: State what content is encouraged, discouraged, or prohibited. A professional network might ban self-promotion, while a hobbyist group might ban off-topic posts. The aim? Keep content engaging, relevant, and valuable.
  5. Privacy & Safety Commitments: Explain how members’ privacy will be protected and safety prioritized. This could mean clarifying how personal information should be handled or setting boundaries for acceptable behaviour.
  6. Conflict Resolution Process: Describe how conflicts will be addressed. If you have a formal process, outline it here. If you don’t, emphasize that respect is required when disagreements occur.
  7. Enforcement & Consequences: Specify what happens if guidelines are violated—warnings, temporary suspension, or even permanent removal. Clear consequences build trust in the rules you’ve set.

1. Define Your Mission and Values

Clear examples make all the difference. Imagine you’re running a tech community:

  • Do: Share helpful resources, tutorials, and relevant news.
  • Don’t: Engage in self-promotion or link-dropping without context.

4. Specify Content Rules

Set content boundaries based on your community’s purpose. For example, a fitness group might ban diet “quick fixes,” while a parenting forum could disallow medical advice without credentials. This keeps discussions safe and on-topic.

5. Address Common Online Issues

Spam, off-topic discussions, and misinformation can derail engagement. Specify actions that will address these issues. Clear guidance here can prevent frustrations and build trust.

6. Set Age Limits and Safety Precautions

This is particularly important for communities that serve younger or more vulnerable populations. Outline any age restrictions and highlight any safeguards to protect your members’ well-being.

[Conflict Resolution]

  • For any disputes, contact a moderator or use our conflict resolution channel.

[Enforcement]

Displaying and Enforcing Guidelines

Visibility matters. Keep your guidelines front and center:

  • Post guidelines as a pinned message or a dedicated page.
  • Consider creating a visual summary with icons to make it accessible.

Then, be consistent in enforcement. Empower your moderators to uphold the rules firmly and fairly. Remember, guidelines are only as effective as their enforcement.
