Harnessing the Power of AI through Effective Prompting

Artificial Intelligence (AI) has become a game-changer in the modern office, offering new opportunities to enhance productivity, creativity, and decision-making. But there’s a catch: AI, and specifically tools like GPT, only deliver their full potential when you know how to ask them the right questions or, in AI terms, when you know how to prompt.?

Prompting AI GPTs is a skill that is both incredibly simple and deeply nuanced. The ability to prompt well is like handing a chef the perfect ingredients for a gourmet meal—you get the best results only when you provide clear, specific instructions.?

As an executive, the capability to harness AI comes down to knowing exactly what you want and how to frame it. In this article, we'll explore how GPT can solve real-world business problems and accelerate your productivity by leveraging smart prompting techniques.

What is Prompting? Prompting refers to the process of giving AI clear and detailed instructions on what you need. In the case of GPT, this could be a question, a command, or even a detailed scenario. Think of it as your instruction manual to the AI. A good prompt clarifies the content, tone, and context. The more precise your request, the more tailored and actionable the output will be.

This article is the first in a series of three (1 of 3) articles, each containing a practical example that showcases the impressive use of GPT in addressing everyday business challenges. These three examples highlight the powerful impact AI can have—when prompted effectively—on boosting productivity and delivering tangible results.

GPT helped me… clarify complex legal terms for my client meeting

Use Case Description: I had a meeting with a client to discuss a new contract, but some sections were filled with complex legal terminology that I needed to simplify before the conversation. I required accurate, clear explanations of regulatory implications and the contract's compliance aspects to communicate confidently.

Prompt Used: "I’m preparing for a meeting with a client in the marketing services sector, and I need help clarifying these legal terms: 'force majeure,' 'indemnity clause,' and 'severability clause.' Can you provide simplified definitions and explain how these terms apply to contracts under European law? Please ensure the explanation is clear, concise, and non-legalistic so I can easily explain it to a non-expert."

Force Majeure: A force majeure clause in a contract is used to protect parties when unforeseen events occur that prevent them from fulfilling their obligations. These events are typically beyond anyone's control—like natural disasters, strikes, or even pandemics. Under European law, this clause temporarily releases the parties from liability or penalties if they are unable to meet the contract terms due to such unexpected events. However, the event must be proven to be truly unforeseeable and outside of anyone’s control.

How this applies to contracts: In the marketing services sector, this could mean that if a project is delayed or canceled due to a major event like a nationwide strike, the agency may not be held responsible for failing to meet the agreed-upon deadlines, provided this is covered by a force majeure clause.

Indemnity Clause: An indemnity clause is designed to protect one party if they suffer losses or damages because of the other party's actions. In simple terms, it means that if you cause harm or financial loss to the other party, you are obligated to cover their costs or compensate them for that loss. This clause ensures that one party doesn't end up having to pay for damages caused by the other.

How this applies to contracts: In your client’s case, if an error in their marketing campaign results in reputational damage or a financial loss for the client’s partner (like a third-party vendor), the indemnity clause may require your client to compensate them for those losses.

Severability Clause: A severability clause ensures that if one part of a contract is found to be invalid or unenforceable (perhaps due to a change in the law), the rest of the contract remains valid and enforceable. This clause helps prevent a situation where a minor issue in the contract could invalidate the entire agreement.

How this applies to contracts: If one specific term in your client's marketing contract is found to be legally unenforceable (maybe due to local regulation changes), the severability clause would allow the rest of the contract to continue as planned without needing to renegotiate the whole agreement.

Summary for your meeting: In simpler terms, these clauses help manage risk. Force majeure allows for flexibility when major, uncontrollable events happen. The indemnity clause is about covering financial losses caused by one party’s actions, while severability ensures that a contract can still stand even if one part of it doesn’t hold up legally. With this understanding, you can explain to your client how these clauses work in practice and how they help safeguard both parties involved.

How GPT Specifically Helped: GPT took complex legal language and distilled it into clear, digestible explanations that I could easily present to my client. This made the meeting smoother and helped me appear more prepared and knowledgeable.

Lessons Learned: AI can turn complex, technical information into easy-to-understand language. By using detailed prompts, you can ensure that the information is both accurate and accessible, no matter how complex the original content may be.

  1. GPT helped me… write an analytical job description for the Product Manager position
  2. GPT helped me… write a polished presentation in record time

Power lies in understanding how to communicate with AI.?

If you can craft a well-thought-out prompt, GPT can become an indispensable tool in your office arsenal—whether it’s for writing job descriptions, clarifying complex terms, or preparing critical presentations. The key is knowing what you want and how to ask for it.
