When reaching out to federal agencies, it's important to understand their heightened email security. To avoid your emails being flagged as spam, avoid using mass email systems or CRMs for your outreach.?
Instead, connect personally by sending emails directly from your business account, such as an “info@” address. A personal touch helps establish a connection and it makes your email stand out as a REAL email.?
Avoid the “Me” Mistake
A big mistake in cold emailing is making the message all about yourself. This involves talking about your achievements, years in business, and awards. Instead, your email should center on the agency or potential partner you're contacting, demonstrating your understanding of their needs and how you can meet them.
Writing a Great Cold Email
Subject - Start with an interesting hook followed by “Capability Brief Request” to signal your intent.
Greeting - Use a respectful salutation. You can address the recipient by name or rank if applicable. It personalizes the email and shows attention to detail.

Compliment - Begin with a broad compliment about the agency's work or mission. If you're able to locate something about that particular person that you're emailing, maybe on LinkedIn, or Facebook, or simply on the internet, by all means, include it as a compliment.?
Case study - Share a recent success story relevant to the recipient's interests or needs. It shows off your skills and relevance without boasting about past achievements.
Call to action - Clearly state that you want to set up a capability brief meeting. Be sure to suggest a specific time or ask for their availability. Your direct approach encourages a response and moves the conversation forward.
Closing - End with a professional sign-off that includes your name, and title.
You can also make your email stand out more with a one or two-pager overview of your business, and follow up with a phone call if possible. It reinforces your interest. Also, be prepared to adapt to specific procedures or contacts as required by the agency.
By the way, if you can potentially meet with them in person, ask if they’re willing to. Now, in some instances there may be a main person or a certain email address that you may have to use to be able to request a formal capability meeting. If that's the case, no worries. You can simply cut and paste the same email and send it to that address.?
