The Genius of the 23-Minute Meeting ??

I'm a big fan of prime numbers. 2, 3, 5, 7, 11, 13....and 23 and 37.

I'm also a big fan of making the most of time spent in meetings and having time to go to the bathroom.

Ever wonder why we default to 30 and 60-minute meetings when efficiency could be our superpower? Let me introduce you to the magic of 23 minutes - and how intelligence, both human and artificial, is transforming the game without sacrificing the personal touch.

Here's the big idea: You can accomplish everything from a typical 30-minute meeting in just 23 minutes. Your hour-long marathon? Trim it to 37 minutes. And yes, you'll still have time for those valuable relationship-building moments.

Plan Ahead (now that you have time)

  1. Manage Expectations. Schedule exactly 23 (or 37) minutes on the calendar. When people see these unusual times, they instantly recognize: this meeting means business.
  2. Agendas Are Pure Magic. Knowing what you want to talk about, the contributions you want people to make, and the outcomes you would like to attain creates context and provides a roadmap for the discussion. The agenda also helps you, the meeting organizer, to stay on track. When the conversation strays, you can call a "timeout", refer to the agenda, and get everyone back on track.
  3. Utilize a "Parking Lot" or "Storage Bin". Great ideas often emerge that aren't on the agenda. Don't lose them - capture them and move along.
  4. Use AI. Yes, I said it. Use AI. Instead of taking notes, allow an AI tool (I use Granola right now...but it's evolving so fast, who knows what will be next) to take notes for you. These agents do an amazing job of organizing notes with or without your structured assistance, and can craft a draft of a follow-up email with next steps and "storage bin" or "parking lot" items noted.

Note: Check the AI output and adjust. Their results aren't perfect and do not always appreciate nuance. Nor do they reflect your voice.

These tools are life-changing and do not interrupt the creative process.

The Benefit

Those extra 7 or 23 minutes you've gained? They're yours to keep. Use them to:

  • Reset between meetings
  • Grab a quick snack
  • Utilize the restroom
  • Process your thoughts
  • Actually make it to your next meeting on time!

I like this Marcy! At one past employer we sometimes set meetings to start at (say) :03 past the hour. The odd time raised the status of the meeting. And an agenda allowed it to end at :30 past the hour.

I had a boss that had 11-minute meetings. Yes, they were VERY tight, and so were all the pieces everything you said. I asked one time, "Why 11?". "Simple. In federal contracting, they track things by tenths of the hour. So less than 12, I don't have to show that I had an internal meeting ;-)" I am constantly amazed at how few people/leaders know how to run meetings well, and complain about time management...
