It's almost IMPOSSIBLE to achieve SUSTAINABLE GDPR Compliance in any mid/large-size enterprise WITHOUT first implementing specific Master Data Management (MDM) structures. If you don't believe me, try it and see!
In this video, I introduce the FOUR MDM elements that I see as ESSENTIAL for sustainable GDPR compliance.
Fragmentation & Duplication
The greatest cause of duplication of personal data of individuals across any enterprise is the practice of the enterprise departments of persistently referring to the individuals with whom they have a commercial relationship, not as individuals, but by the ROLE that these individuals play in that relationship.
For example, the Marketing Department will refer to individuals as a Prospects. The Sales Department will refer to them as Customers, the Purchasing Department will refer to them as a Suppliers, the HR Department as Employees.
But then, to compound this error, each department will enter the individuals personal information into separate, department based, information systems and, worse still, also into numerous spreadsheets.
FOUR Key MDM Elements
The FOUR keys elements that I describe in the video below, which I see as KEY to SUSTAINABLE GDPR are:
- Party
- Party Role
- Location
- Location Usage
Party and Party Role
Combining the elements of Party and Party Role is one of the most powerful MDM structures for enabling an enterprise to eliminate the replication of an individual's personal information across all of their systems.
Can you think of any more effective way to achieve GDPR compliance than by holding the personal information of an individual once and only once in an enterprise? This is what the elements Party and Party Role allow the enterprise to do.
The element of Party Role allows the individual to play as many Roles as as are required with the enterprise without having to replicate the individuals personal information. It does this by linking the Party (the individual) to the Party Role as many times as required, as the diagram below shows.
Location and Location Useage
Another common error that does not serve GDPR Compliance is that of implementing data structures that show Address as as an attribute of Party. The correct data structure would show Address as a type of Location made use of by the Party..
Party can then be linked to Location as many times as required through the element Location Usage, as shown in the diagram below.
The element Location Usage Type specifies what the specific Location Usage is, for example, 'Primary Residence', 'Delivery Address', etc, etc.
This structure is especially important for GDPR Compliance because Location Usage plays a major role in defining the Unique Identifier of a Party (an individual).
