It’s a journey I know too well, having shifted my young career from the structured confines of corporate life to the dynamic landscape of IT industry.

Transitioning from a traditional work kind of set-up to an “everyday-there’s-new” kind of work setting has been a big and unfamiliar path to walk for me especially with only a year of work experience under my belt. As a fresh grad – we can always explore, especially those paths that are not taken by majority!

The role of a Virtual Assistant is not just crucial; it’s a backbone of efficient operations. I’ve learned that technology is your powerhouse – it’s a game changer! Despite your role focused on support tasks, having a fundamental grasp of IT industry systems and software proved invaluable.

While being proficient with the daily office applications is essential for smooth business operations. Leveraging the right tools can significantly boost productivity. Get acquainted with project management tools such as Atlassian or Trello, utilise Slack or Microsoft Teams as your communication hub – these platforms can also facilitate seamless collaboration, file sharing, and you can also explore automation tools. By delving into and getting comfortable with these technologies early can streamline your workflows and enhance efficiency.

Communication Skills are Key

Effective communication is at the heart of success in any industry, but it’s especially vital in IT BPO. From interacting with client to collaborating with internal teams, refining your communication skills early on would have make a significant difference.

I vividly recall my early days in this industry, when my boss’ would help me look and suggest free online classes on Udemy for me to take. The IT sector is filled with technical jargon. Take the time to learn and familiarise yourself with the basic IT terminology. This knowledge will not only enhance communication with IT professionals but also empower you to better understand the company’s IT infrastructure and operations.

Stay Organised and Efficient

In a fast-paced environment, being organised is a superpower. Develop good habits of tracking tasks, deadlines, and important information using tools like calendars, task managers, or project management software.

Juggling from an important task to urgent request can be tricky! Take advantage of productivity techniques such as time-blocking for tasks, creating to-do lists, and prioritising high impact activities.

It’s important to distinguish between priorities and urgent tasks. Priorities are tasks or activities that are important and contribute directly to the long-term goals and objectives of the business. Urgent tasks, on the other hand are time sensitive and require immediate attention. Mastering the balancing act between the two is essential for maintaining productivity and effectiveness.

Cultivate a Proactive Mindset

Take initiative! Don’t wait for tasks to come to you. Proactivity is highly valued in the BPO world. If you notice a process that could be improved, suggest solutions. It’s about being forward-thinking and constantly seeking ways to add value not only in the organisation but also to your future self. Your proactive approach will pay dividends in the long run!

Embrace Continuous Learning

In the ever-evolving IT BPO industry, new technologies and trends emerge regularly. You don’t need to be a tech savvy! But you can always stay ahead of the curve by investing time to learn new skills and tools. Online courses, webinars, and industry publications are open resources for staying updated.

Consider pursuing certifications in areas such as project management or specialised software applications to enhance your credibility and expertise. If you think this idea is just another job that is not written in your job description, you’re right! But taking the initiative to expand your knowledge would not hurt. Remember cultivating a proactive mindset would benefit your personal and professional growth in the long run. Your future self will thank you for that!

Focus on Quality and Accuracy

Double-check your work for errors, whether it's a report, presentation, or data entry task. Quality and accuracy build trust with clients and team members, setting you up for long-term success.

In the times of uncertainty, you can always clarify your client’s expectations and requirements for each task or project. It’s better to ask questions upfront than to make assumptions that could lead to errors. Take note, seeking for clarification doesn’t display incompetence – it shows your commitment to delivering the best result.

If the client has provided guidelines or standard operating procedures (SOPs). Adhere to them closely. Consistency in following procedures helps maintain quality and accuracy. You can always use grammar and spell-checking tools, and before submitting any deliverable, take the time to review it thoroughly.

Seek Feedback and Grow

Feedback is a gift, so don't shy away from it. You can always take the initiative to ask for feedback from your supervisors or clients. And instead of asking for general ones, be specific about what you want to know. For example, inquire about your communications skills during meetings, your efficiency in completing a task, or ways to improve technical knowledge.

Listen attentively without becoming defensive! Take notes if necessary to ensure you understand the points being made. Don’t forget to share your progress and ask for further feedback to ensure you are on the right track!

A continues improvement is the hallmark of a true professional.

Seek Mentorship

One of the most impactful decisions I made was seeking for mentorship. Our COO used to set aside a dedicated two-hour session every Tuesday for us to delve into any questions! From little hacks on how to use software applications to giving me valuable industry insights and advise.

Whether it’s a senior colleague or a professional mentor, seek out someone whose expertise aligns with your goals. A mentor can offer you career advise and broaden your professional network. Don’t hesitate and reach out to build these professional relationships.

You may find yourself wearing multiple hats, constantly on your toes to ensure everything is overseen, and the pressure can sometimes feel overwhelming. Remember to take a breather – especially on those days when nothing seems to be working out; we all have them!
