From Emails to Emojis: Navigating Digital Communication in the Workplace

Business used to be a world of typed memos. Then email only. Now we have instant messaging, collaboration tools, video calls, and emojis. But with that comes new challenges. How can organizations ensure that their digital communication is clear, efficient, and professional? Let’s break it down.

1. Selecting the Proper Communication Channel

Not everything should be said in an email, and not every update should be posted in a Slack channel. Here’s a simple guide to know what type of message should be sent with which tool:

  • Email – Suitable for formal communication, detailed information, or if you need documentation of some kind.
  • Messaging Platforms (Slack, Teams, etc.) – Perfect for those times when you need an immediate answer, to collaborate in real-time, or to have a casual chat.
  • Video Calls – Suitable for a more detailed discussion, planning or problem solving, or to clear up confusion.
  • Other Company-Wide Platforms (Intranet, Newsletters) – Useful for making important announcements or sharing information with everyone.

2. The Importance (and the Problems) of Emojis

Emojis can help to express feelings, tone, or meaning in text conversations. A single like button can stop people from having their own interpretation of a short post. But there are pitfalls. Overusing emojis can result in comedic relief but also look unprofessional. If you are unsure, think about your audience and the organization’s culture before using a ?? in a client email.

3. Informal and Formal Language: The Distinction.

Instant messaging has led to some workers using more casual language in the workplace. Though this creates a friendly working environment, it is crucial to maintain decorum. You should also avoid using certain shortcuts, and always remember that comprehension should be the main goal.

4. Preventing Digital Clutter

People are using several platforms at their workplace, and they may get overwhelmed.

You should consider:

  • Setting up expectations for reply and notification on different platforms.
  • Asking everyone to disable their nonessential notification sounds.
  • Coach that it is better to not send messages in pieces but to combine them into one message.

5. Digital Communication Standards

To make communication effective, organizations should establish:

  • What tool should be used for what kind of communication?
  • The rules on when to reply and how long it should take before replying to different channels?
  • When to use a phone conversation as opposed to a written communication?

Achieving Digital Communication That Enhances the Workplace

The application of digital communication can improve collaboration or, on the other hand, lead to confusion if it is not well managed. It's important to use the right tool properly, setting up expectations, and encouraging people to use clear language. That way a workplace can really benefit from digital interactions.
