My Journey with an AI Assistant
I've always considered myself a decent communicator, but when it came to emails, I was my own worst enemy. You see, I'm not naturally gifted at writing, and to make matters worse, I'm a bit of a perfectionist. This toxic combination turned my inbox into a daily battleground of procrastination and frustration.
The Email Struggle Was Real
Every morning, I'd open my inbox with a mix of dread and determination. As a business owner, I knew these emails were important - potential clients reaching out, team members needing guidance, partners proposing collaborations.?
I'd start drafting replies, second-guessing every word. Was this clear enough? Did it sound professional? Before I knew it, too much time had passed, and I'd only managed to send a handful of emails. Frustrated, I'd turn to tools like Grammarly or ChatGPT to polish my writing. It was exhausting, and I knew something had to change.
The Lightbulb Moment
One particularly grueling email session, as I was yet again rewriting a response for the umpteenth time, a thought struck me: What if I could flip this process on its head? Instead of me drafting emails and then using AI to improve them, what if AI could take the first pass?
Excited by this idea, I dove into research and discovered Zapier Central, an AI tool that could potentially be my email savior.
Meet Hector: My AI Email Assistant
With a mix of hope and skepticism, I set up my AI email assistant. I named him Hector (from my favorite sci-fi AI series). I gave Hector some basic instructions: read my emails, figure out which ones need answers, draft friendly responses, and leave them in my outbox for review.
I also gave Hector some personal guidelines. "Never start with 'I hope this email finds you well,'" I told him. "Get to the point, but be friendly. And feel free to be witty when it fits."
Hector's First Test
I'll be honest, I was nervous. Would Hector understand the nuances of my business communications? Would the emails sound robotic?
A few days after setting up Hector, a complex situation landed in my inbox. It was an old prospect from over a year ago, trying to restart a conversation about a complicated project. To make matters more interesting, the original contact had gone on vacation, and someone else had jumped in to follow up.
I held my breath and checked my draft folder. There it was - Hector's response. As I read it, my jaw dropped. Not only had Hector crafted a friendly, professional reply, but he had also picked up on the year-long gap in communication. The email ended with, "Let's not let another year slip by. How about we schedule a call early next week to discuss the next steps?"
I was floored. Hector hadn't just responded; he'd understood the context and added a personal touch I might have missed in my usual rush to clear my inbox.
