Focus Area Two Monitoring Preparation Training
Melvin J. Gravely
CEO @ The Gravely Group | Public Administration, Leadership Development
Whenever an agency goes through a monitoring review it can be a stressful and intimidating experience. The best way to ensure everyone is prepared for what can happen is to plan now and be aware of the components that make up the monitoring review process.
The Gravely Group is pleased to offer a new training session that allows staff an opportunity to learn, review, and observe the factors in advance so everyone can be aware of what to expect, and more importantly how to correct any issues.
The Focus Area Two Review is an opportunity to demonstrate program practices and outcomes. It is a crucial Head Start requirement all organizations’ experience. A positive monitoring outcome can secure opportunities to maintain services for another five-year grant period. However, a negative outcome may result in noncompliance, corrective action, or placement in the Designated Renewal System, risking opportunities to continue providing Head Start services to children and families. Therefore, it is essential that programs understand the monitoring protocol, the intent and purpose of each performance measure, and how to prepare their program for an excellent monitoring process.
During the Focus Area Two Monitoring Preparation Training, participants will learn:
1. Understand the aim of the performance measures and what the Office of Head Start Content Experts want to learn about program operations and systems.
2. The most beneficial methods for demonstrating quality practices through verbal and written presentations in all content areas.
3. Prepare a roadmap for each service area with essential learning components for board and policy council members, management team members, and front-line staff.
4. How to identify potential pitfalls in current practices that, if left unchanged, could rise to a concern, non-compliance, or deficiency.
5. The most effective methods for redirecting noncompliant practices to eliminate potential findings.
Why Receive Monitoring Training as Quickly as possible
Whether you received notice that a review is pending this program year, you have received your 45-day notice, or you anticipate a review sometime in the coming program years, this training is vital to programmatic success. By attending this learning experience, your team will:
1. Create review-ready systems to assure a quality announced or unannounced review.
2. Establish organizational confidence in the review process, eliminating the emotional challenges associated with a monitoring event.
3. Recognize areas of excellence and understand how to highlight these as distinctive programmatic practices.
4. Understand challenges in service delivery models and determine short and long-term plans to eliminate them in time for the review.
5. Learn from a former Monitoring Contract Leader that facilitated or managed close to 400 reviews, worked closely with the Office of Head Start to plan monitoring systems, and can identify quality, compliance, noncompliance, and deficiency efficiently and effectively.
