Remember that amazing feeling when we built the Flow that automated those lead tasks?
That was just the beginning!
Now, we're going to build a Flow that creates tasks for your sales team, all based on how your deals are progressing.
Imagine never having to manually add reminders – your Flow will handle it!
Our Mission: Let Your Flow Create Tasks for You
Here's how this new Flow will work:
- The Starting Point: It all begins when you change the stage of an Opportunity in Salesforce. An Opportunity is like a deal in progress. Stages tell you where you are (like "Trying to Get Meeting," "Sent Proposal," or even "Deal Won!").
- The Flow's Question: We'll use special 'Decision' pieces in our Flow to ask, "What is the Opportunity's NEW stage?"
- The Right Actions: Here's the magic: Based on the stage, your Flow will create a new task. This task will remind the salesperson what to do next! It will automatically assign the task to the right salesperson.
Why This Is a Game-Changer
- Never Forget Important Tasks: The Flow makes sure the right tasks get created at exactly the right time. No more missed follow-ups!
- Everyone Does Things the Same Way: When your Flow creates tasks based on stages, your whole sales team follows the best process. This leads to more deals won!
- Become a Sales Data Expert: Over time, your Flow can show you which stages create the most tasks. This helps you figure out where deals get stuck and how to improve your sales process.
The Skills We'll Power Up
- Record-Triggered Flows: These are Flows that watch for changes in Salesforce. Perfect for Opportunities!
- Making More Decisions: Our 'Decisions' will be a bit smarter this time, checking the stage of the Opportunity to figure out what to do.
- Creating Records: Our Flow won't just change things in Salesforce, it will make brand-new task records!
- Assigning Tasks Like a Pro: We'll tell the Flow exactly who should get each task.
A Quick Preview: How the Flow Is Built
- Setting Up the Flow: We'll create a special Record-Triggered Flow that watches changes to "Opportunities" in Salesforce.
- Asking About the Stage: Our first 'Decision' in the Flow asks: Outcome 1: Is the Stage "Proposal Sent"?Outcome 2: Is the Stage "Negotiation"?Outcome 3: Is the Stage "Closed Won"?(We'll add an outcome for each of the stages in your sales process)
- Tasks for Each Situation: Let's look at "Proposal Sent." We'll add a "Create Records" piece that makes a new task with the Title: "Follow Up on Proposal"Due Date: A few days after the proposal was sentDescription: Space for notes like, "Did they get the proposal? Do they have questions?"Assigned To: The salesperson who owns this deal
- Repeat for Each Stage: We'll do the same thing for "Negotiation," "Closed Won," and all your other stages, making sure the tasks match what needs to happen next.
Things to Think About Before We Build
- What Are Your Sales Stages? Every company sells a little differently! Write down all the stages deals go through in your company. Here's an example: Stage 1: New LeadStage 2: Qualified LeadStage 3: Meeting ScheduledStage 4: Proposal SentStage 5: NegotiationStage 6: Closed WonStage 7: Closed Lost
- What Tasks MUST Happen? For each stage, ask: What does the salesperson HAVE to do to move the deal forward? When does this task usually need to happen? (Right now, in 3 days, etc.)
- Need a Refresher? Trailhead is amazing for learning Salesforce! If you need help remembering Record-Triggered Flows or creating records in a Flow, there are great lessons.
Bonus: Think Even Bigger!
Task automation is just the start with Flows! Imagine a Flow that:
- Sends an automatic "congrats!" email when a deal is won, tagging the whole team.
- Updates a report in a different system when a deal moves to a certain stage.
- Sends customers a survey after a deal is lost to help you learn.
The possibilities are endless!
