Feeling Overwhelmed? Conquer Your To-Do List with Stoicism and Agile

Ever feel like there just aren't enough hours in the day?

You're not alone.

Between work deadlines, personal errands, and that ever-growing social media scroll, it's easy to feel swamped.

I felt constantly overwhelmed a few years ago, working about 12 hours a day.

But, by combining Agile practices with Stoic principles, I discovered a calmer, more productive way of working.

These two seemingly unrelated concepts can be your secret weapons against the never-ending to-do list.


Stoicism for Emotional Balance

Stoicism isn't about apathy.

It's about focusing on what you can control (your thoughts, actions, and reactions) and letting go of the rest.

In the whirlwind of to-dos, it's easy to get caught up in things outside your control (a client's sudden change of plans, a never-ending email queue).

Sound familiar?

Stoicism teaches you to step back, acknowledge the situation for what it is, and focus your energy on what you can do.

When we get bogged down by frustration or anxiety, our focus suffers.

Stoicism helps us stay calm and collected, even when faced with setbacks.

This emotional resilience is crucial for productivity.

Agile for Flexible Action

Agile Development is a way to develop software that values delivery frequently, learning from the customer uses, being adaptable and continuously improving.

It breaks large slices for delivery into smaller, manageable chunks and allows for adjustments as needed.

This is perfect for our ever-changing world and overflowing to-do lists.


Stoicism + Agile = Productivity Powerhouse

By combining the mental fortitude of Stoicism with the adaptable ways of Agile, you can create a powerful system for personal productivity.

Here are some lessons learnt on how to do it:

  • Start small: Don't try to overhaul your entire life overnight. Pick one or two areas to apply Stoicism and Agile principles.
  • Set Goals being Stoic: Do you have big goals for the year? Set small goals for your journey, goals based on your priorities and time constraints, per Quarter and/or per Month. Focus on the process of doing more than being anxious about achieving the goal that is just a hypothesis of outcome. If you do not achieve the goal (hypothesis), I guarantee that you can learn from what will happen during your journey.
  • Break Down Big Tasks (Agile): Feeling overwhelmed by a large project? Does it seem that it's eternal in progress? Chunk it into smaller slices that can deliver value (hypothesis) soon, more manageable steps. This will make it seem less intimidating and help you stay focused.
  • Focus on What You Can Control (Stoicism): Don't get bogged down by things outside your control (traffic jams, the bad weather, a furious coworker who is having a bad day and discounting on you). Focus on what you can do (leave earlier, execution, adapt depending on the context, communicate expectations).
  • Embrace Progress, Not Perfection (Agile): Don't let the pursuit of perfection paralyze you. Aim for progress, not flawless execution. Remember, even small steps forward are better than no movement at all.
  • Embrace Iteration: Agile teaches us that plans can change. Be flexible and adjust your approach as needed. Don't be afraid to re-prioritize your tasks or break them down further.
  • Celebrate Small Wins: Both Stoicism and Agile emphasize the importance of acknowledging progress. Take a moment to appreciate each completed task, no matter how small.
  • Reflect and Adapt (Agile & Stoicism): Take time regularly to assess your progress and adjust your approach as needed. This could be a daily review of your to-do list or a weekly reflection on your overall goals. What's working? What needs tweaking?
