Exporting, importing, and managing your OneNote notebooks

My Issue:

I started a new job, and for about two weeks, I didn’t realize that I was using my personal Microsoft credentials instead of my new Microsoft work credentials to take notes in OneNote. I had multiple notes saved from over 20 meetings with multiple section groups. A section group works the same way as hard drive folders; it allows you to keep the information together.

Typing it all over again or copying and pasting was not an option! After a quick Internet search, I got some complicated steps that I didn’t want to take. I pondered, “Why can’t I do a simple export and import?”

My Solution:

It’s 2022, Microsoft is always updating and releasing great new features. So, it should NOT be difficult to achieve this task. Sure enough, I found the solution and it was simple; I exported and imported my OneNote notebook backup from my personal account to my work account. It transferred in five seconds!

Steps to export your personal notebook via OneNote app:

  • ?Step 1: Open your desktop OneNote app
  • Step 2: Select “File” then “Export”
  • Step 3: Under export current, select “Notebook”
  • Step 4: Under select format, select “OneNote Package” and then click “Export”
  • Step 5: Name your file, and save it to your desired location

Steps to import your personal backup Notebook to your work’s OneNote app:

  • Step 1: Locate and open the folder with the notebook backup file
  • Step 2: Double click on the file
  • Step 3: Browse to the location where you want to store the notebook file, enter the notebook name and select a colour code
  • Step 4: Select “Browse” and navigate to the work sync folder path
  • Step 5: Select “Create”

The outcome: you’ve now exported and imported your personal OneNote notebook, and can now manage your personal and work notebooks from your work’s OneNote app.

My New Improved Notetaking Outlook:

Previously, my primary app for taking notes was Evernote. I only used OneNote because of the alternative text feature, which allows you to easily capture text from images without having to type it out. Now, all the features I need are in one app – and it’s free. SWEET!

cannot sync Onenote to Google drive or Onedrive from Galaxy S21.

It is in deed a powerful and efficient way to manage a lot of activities while keeping the relevant structure and content etc .. achilles .. copy and paste into office applications is not smooth in some cases . That extra layer of integration can prove very useful for reports . PowerPoints. Excel data etc . We will be looking forward to this next step when available ..Andrew Graham, BSc (Hons), PMP, SFC
