Excel’s Newest Features Are Changing HR—Here’s How to Use Them

1. Cell Focus: No More Losing Your Place

Ever get lost in a giant spreadsheet, scrolling endlessly trying to find the right cell? The new Cell Focus feature?highlights the exact row and column you're working in, making it easier to keep track of complex formulas and large datasets.

? HR Use Case:?Perfect for payroll specialists and HR analysts working with massive employee data sheets. No more misplacing a formula or overwriting the wrong row.


How to Use It:

  1. Open an Excel spreadsheet.
  2. Click on View?in the toolbar.
  3. Select Cell Focus Mode?(this may be labeled under Accessibility Features in some versions).
  4. Your active cell will now be highlighted, making navigation easier.


2. Image Function: Add Employee Photos to Spreadsheets

Excel now lets you insert actual images inside cells?instead of just floating pictures. This means you can create more dynamic employee directories or ID tracking sheets without dealing with formatting issues.

? HR Use Case:?Store employee headshots directly in their records, making it easier to verify identities or create org charts. (Download template below)


How to Use It:

  1. Click on a cell where you want to insert an image.
  2. Type =IMAGE("URL") (replace "URL" with a direct link to the image).
  3. If uploading from your computer, go to Insert > Pictures > Place in Cell?and choose your image.


3. Automate with Power Query’s Enhanced AI

Power Query has gotten smarter with new AI-driven automation tools, making it easier to clean and transform raw HR data. You can now pull reports, filter, and structure data automatically?instead of spending hours on manual adjustments.

? HR Use Case:?Pull reports from multiple sources (like Workday, ADP, or Paylocity) and let Excel clean up the data instantly—no need for manual reformatting.


How to Use It:

  1. Open Excel and go to Data > Get & Transform Data.
  2. Select Get Data from Other Sources?(e.g., databases, HRIS exports).
  3. Click Power Query Editor, and Excel will suggest transformations like removing duplicates or structuring data automatically.
  4. Click Close & Load?to finalize your cleaned data.


4. PivotTables’ New "Show Details" Button

Sorting through salary trends, employee attrition, or training effectiveness? The updated PivotTables feature now includes a “Show Details” button, letting you drill down into individual data points with one click instead of creating separate reports.

? HR Use Case:?Quickly analyze workforce trends without needing to build multiple reports—great for executive presentations.


How to Use It:

  1. Create or open a PivotTable.
  2. Right-click on any data point.
  3. Click Show Details?to view a breakdown of the underlying data.

5. Suggested Formulas: Excel Thinks for You

If you've ever spent too much time trying to remember a formula, this one’s for you. Excel now suggests formulas based on your data, making calculations and data analysis much faster.

? HR Use Case:?Need to calculate turnover rates or average salary increases? Instead of Googling formulas, let Excel suggest the best one.


How to Use It:

  1. Click into a blank cell below a column of numbers.
  2. Look for Excel’s formula suggestion?(it will appear automatically if your dataset is structured).
  3. Press Enter?to apply the suggested formula.
  4. If no suggestion appears, click Formulas > AutoSum, and Excel will provide options based on your data.
