As a data analyst, there are a number of tools you need to master but everyone have to start with Excel — The Mother Of Data Analysis.

Excel is very much underrated , it is still the most in demand tool for data analysis and very common in every job requirement related to Analytics.

While there are countless functions in Excel, but there are a few Excel formula’s that will make your data analysis journey super easy.

So here are five Excel formulas that every data analyst should master.

1. VLOOKUP / XLOOKUP

What it does:

These functions are used to search for a value in a table or range and return a corresponding value from a different column.

Why it’s important:

VLOOKUP and XLOOKUP are crucial for data extraction and analysis. Whether you’re matching customer names to their order details or finding product prices based on their IDs, these functions make it a breeze.

Example:

Suppose you have a table with customer names and their corresponding email addresses. To find the email address of a specific customer, you would use VLOOKUP or XLOOKUP.

2. SUMIF / SUMIFS

What it does:

These functions are used to sum values based on one or more criteria.

Why it’s important:

SUMIF and SUMIFS are invaluable for calculating totals based on specific conditions. For instance, you might want to sum sales figures only for a particular product or region.

Example:

To calculate the total sales of a product called “Widget,” you would use SUMIF with the criteria “Widget.”

3. COUNTIF / COUNTIFS

What it does:

These functions are used to count the number of cells that meet certain criteria.

Why it’s important:

COUNTIF and COUNTIFS are essential for data analysis and reporting. They help you understand the distribution of values in your dataset.

Example:

To count the number of customers who made a purchase in the last month, you would use COUNTIF with the appropriate criteria.

4. IF / IFS

What it does:

These functions are used to perform logical tests and return different values based on the result.

Why it’s important:

IF and IFS are versatile functions that allow you to create dynamic calculations and decision-making processes.

Example:

To determine whether a customer is eligible for a discount based on their purchase amount, you would use IF to check if the purchase amount is greater than a certain threshold.

5. CONCATENATE

What it does:

This function is used to combine text strings into a single string.

Why it’s important:

CONCATENATE is helpful for creating custom labels, formatting data, and generating reports.

Example:

To create a full name from first and last names, you would use CONCATENATE to combine the two strings.

Bonus Tip:

While these formulas are essential, don’t be afraid to explore other Excel functions that might be relevant to your specific tasks. The more you experiment, the more proficient you’ll become.

You need to master these formulas and start using them in different ways and like you can combine VLOOKUP and SUMIFS function so that it will lookup values and then sum them on a particular condition.
