While the industry is changing to meet new demands, this is proving to be difficult. Some of the manufacturers that service this industry are changing their practices as well. One change includes minimum purchase requirements. While this might be good for containing the manufacturer’s costs, it creates all kinds of problems for data center operators. ?

In the past, buying in bulk sounded reasonable, but minimum purchase orders bind data center operators to an old system that generates new problems.

The evolving demands on data center management underscore the need for smart and nimble purchasing decisions - not an outdated, one-size-fits-all approach so many manufacturers are mandating.

But for the data center, the minimum purchase is NOT a cost savings overall. The dirty little details of these cost impacts are seen in the budgeting of these new construction and expansion projects.

Minimum purchase orders tend to exceed the project scope allowances. A database center may only need a dozen of a particular part, but they when they have to order two times that amount, the costs are higher than the budget allotment for the product. These demands can cause expense and accounting nightmares for the data center.

Over-Supplying a Project

A data center, whether or not they have a need for all the materials they were required to order, has to deal with it. But these leftovers don’t just vanish – data centers have to deal with the overstock.

Dealing with these overages has both operational and financial consequences. These cost overruns are not always accounted for in the project’s budget. Even if they are, it’s still not an efficient use of valuable resources. Paying for the manpower, storage, or most optimistically, the sale of these over-supplies has to come out of a budget’s line item somewhere else.

As with any commercial property, space is at a premium. Storing materials that are not needed or wanted becomes a challenge for data center management. Is extra space in the facility needed to store these materials? Do facility workers need to work overtime to move these materials to another part of the facility? Is off-site storage needed?

Data center operators would rather not deal with the whole mess these oversupplies cause.
