Navigating the twists and turns of the old Taconic Parkway was having the same effect on my brain as I was letting go and looking forward to a long-anticipated yoga retreat. And then the phone rang. In those days, we answered our devices like they were status symbols.
“We were told that you were the ‘it’ girl,” the person from a top PR company in New York opened with as I steered the car onto the shoulder of the road and listened. With three weeks before the launch of one of the largest, most prestigious global events created by a former U.S. President, it became apparent that registration was a bigger, more complex issue than anticipated. There were an estimated 10 types of participants, including CEOs, Presidents, Heads of State, Celebrities, special guests, security, staff, and so on, all invited to different receptions and meetings. There needed to be a detailed, organized plan to service guests 24/7 – and there wasn’t.

As they described the details of the event, I was mentally calculating the cost of accomplishing what needed to be done within the three-week period – what to plan, how to implement, who to involve, how to account for, who to hire, and so on to provide an accurate estimated cost. The estimated cost was rejected as it wasn’t given the attention it needed as a significant line item, and the rest is literally history. I learned later that the invited guests had to wait for two hours or more to register, and they, the President, and live coverage were not pleased. My team and I were hired for the next year.
Any component of an event is important, and registration is a first impression and makes the most impact. What you experience prior to a live event and following is just as important in the process. After all, without an audience, there is no event. Regardless of hosting a Board of Directors meeting, town hall, executive retreat, or Stakeholders event, every detail matters and there are skills and professional knowledge involved to ensure things go smoothly. In this case, the registration process. Support your teams in their training so they are equipped and can be realistic with what is needed so that, in the long run, all will run efficiently.

4 个月Someone asked and so I answer…every event needs attention to detail but a Presidential or any high level event tends to have more complex and different types of detail. The planner can never ask too many questions or stop anticipating.
