5.3.35 Health Issues:
Considering health issues during event planning is a very important factor. Cleanliness, proper sanitation, hygiene, placing waste basket in proper places and other health issues should be keep in mind.
5.3.36 Public Safety:
When building temporary structures you should consider public safety. Public safety is not only for viewers and participants of the event. Public safety also includes event management team, crews and workers. All precaution should be taken.
5.3.37 Proper Water Supply:
You are planning for a 2000 people corporate dinner party. There are speeches and cultural shows. Program will be started from 05:00 PM and dinner will be served on 08:00 PM. You have planned and arranged sufficient water for Dinner. But you didn’t consider that water will be served with dinner not before that. There are 03 hours without drinking water. In this scenario make sure you have drinking water in the foyer. Not only drinking water. Water supply should be proper everywhere including wash rooms, toilets and sinks. Water should be clean and hygiene.
5.3.38 Wash Room/ Toilet:
Don’t forget to think about wash rooms during planning your event. Your selected venue should have sufficient wash rooms. Wash rooms should be hygiene and clean. Standby cleaner should be designated for washrooms. Cleaner should be clean and well equipped. Cleaning process should be fast and furious. Sufficient water supply should be ensured for wash rooms. Make sure water shouldn’t be waste. Sometimes you have to construct temporary wash room for outdoor event. In that cases ensure proper sanitation system. There are so many development organizations who are working on public health. They have ideas of hygienic temporary toilet. Take ideas from them. Place toilets in safe distance from your event area.
5.3.39 Waste Management:
Waste should be managed properly for clean and healthy event. Measure the possible wastes of your event. Take initiative according to your need. Place bin at different points. During placing bin please consider the pathways. Don’t place it in awkward places but obviously place it in easy getting places. During venue selection check their waste management policy. Waste management process should be hygienic. Cleaners should wear hand gloves during handling waste.
5.3.40 First Aid / Medical Backup:
First aid or Medical backup should be arranged for any kind of events. When you are arranging an indoor event First aid box should be enough for that. But big gathering like concert or fair you have to arrange proper medical backup. Backup should be arranged according to the size of the event. Suppose you are arranging a marathon you have to arrange ambulance, nurse and doctor. Large festival and concert also needs doctor and ambulance.
5.3.41 Fire Fighting Plan/ Fire Exit/ Distinguishers:
You should be prepared for firefighting. You have to set a fire fighting and exit plan. Keep clean all fire exits. Check fire distinguishers. You can arrange a fire drill before your event. Fire fighting and exit plan should be announced and distributed during event. Signage or board with fire exit plan should be placed in event area.
5.3.42 Insurance Requirements:
In Bangladesh usually we don’t consider insurance in event. But it is very important part of event management. Public liability insurance cover will be expected for your event. This must be produced before the event takes place and advice should be sought from a recognized insurance company, you must also ensure that any equipment you hire is adequately insured against loss or damage. The level of the insurance will depend on the nature of the activity planned.
5.3.43 Incident Report: Lost and Stolen Property/ Lost Children
We should place a booth of Incident report in the large events. People can report and bring their lost, stolen property and Children. Incident report booth should have facility to announce the query throughout the event area or venue.
5.3.44 Disability Access:
Disability access must be considered during event planning. Event should be disability access friendly. Event Manager has to make reasonable adjustments for disabled people access. This is so that a disabled person is not put at a substantial disadvantage compared to non-disabled people in accessing the event.
Examples of reasonable adjustments could include:
- Installing an induction loop for people who are hearing impaired
- providing disability awareness training for Usher who have contact with the public
- providing larger, well-defined signage for people with impaired vision
- putting ramp at the entrance to a building which has steps
