Consider what you want to achieve from your event and how you will measure its success. It could be anything from raising funds for a charity, celebrating a community, or promoting a brand. Once you know why you are planning an event, the how falls into place.

As a student event manager, budgeting has to be one of my biggest challenges. Now that you've defined your event goals and objectives, it's time to create your budget. Knowing your budget upfront will help you decide what you can and cannot afford (usually most things for me) and keep you from overspending or spending on the wrong things. Be sure to account for all the expenses, including venue, catering, entertainment, decorations, and any additional costs that may arise. It is essential to be realistic, given the size and relevance of your event.?


Choose the Right Venue

Choosing the right venue is crucial to the success of your event. The platform you choose should fit the size and style of your event and should be easily accessible to your attendees. Consider the location, accessibility options for your guests and, most importantly, the vibes. Once you've found the right venue, book it well in advance to avoid last-minute surprises.


Hire an Experienced Event Planner (Me)

If you're planning a significant event, consider hiring an experienced event planner to help you. An event planner can help you with all aspects of your event, from the initial planning to execution. They can also help you save time, money, and stress and ensure everything runs smoothly on the event day. If you cannot afford to hire an event planner, you can follow these tips and still execute a good event.?

Marketing is crucial to the success of your event. Develop a marketing plan that includes social media, email marketing, and advertising. Use targeted ads to reach your desired audience and create a buzz around your event. Let your connections and networks share your event posters and invites with your target audience. Plan the event schedule well and ensure it's realistic and achievable. This is where Google Sheets comes in. It is a great tool to help you plan and schedule your event. If you're hosting a multi-day event, create a detailed schedule for each day, including session times, breaks and, in my case, a list of volunteers that will assist throughout each step.

Building vendor and supplier relationships create ease of working and collaboration. It also helps to compare prices while making your budget. It's also important to communicate your expectations clearly and ensure everyone is on the same page.


Create a Contingency Plan

No matter how well you plan, things can always go wrong; take it from me. That's why creating a contingency plan for your event is crucial. Got an excellent Plan A? Amazing, now make a solid Plan B. Consider potential issues, such as bad weather or technical difficulties, and have a plan to address them. This will help you quickly and effectively resolve any problems before or during your event. Your guests and clients must experience a seamless event even when you are on your Plan C.


Follow Up and Measure Success

After your event is over, follow up with your attendees and vendors to gather feedback. This will help you measure your event's success and identify improvement areas. Creating an effective feedback strategy can be challenging as people are not keen on filling out long forms. This is why you should invest time into creating a dynamic system that works for your diverse guests and clients. Then, you can use the feedback to refine your planning process and improve your next event.
