12.? ?Project Manager Mindset
?? ???????A Project manager has to show initiative and be proactive.? He/She is expected to anticipate problems and identify, analyze, and mitigate project risks before they turn into show-stoppers. Note that if there are answers that mention ‘the project manager has to wait and respond to a problem after it has occurred, or is in reactive mode to challenges, then such answers are likely to be wrong and have to be eliminated.??? ??
Sample Question 1) A project manager notices that a critical task is at risk of not being completed on time due to resource constraints. What should the project manager do to proactively address the situation?
A) Wait until the task misses its deadline and then implement corrective actions.
B) Immediately request additional resources from the project sponsor.
C) Discuss the issue with the team and reallocate existing resources to ensure the task is completed on time.
D) Ignore the issue for now and hope that the team will catch up later.
Explanation: The correct answer is C.? The best course of action for a proactive project manager is to discuss the issue with the team and reallocate existing resources to ensure the task is completed on time. This demonstrates proactive problem-solving, effective communication, and resource management skills
Let us evaluate the incorrect Choices:
Choice A - Waiting until the task misses its deadline is a reactive approach and not proactive. This choice results in delays and potentially jeopardizes the project timeline and deliverables. A proactive project manager addresses potential issues before they become actual problems.
Choice B - While requesting additional resources might be necessary, it should not be the immediate first step. Proactively, the project manager should first assess whether the issue can be resolved internally by reallocating existing resources or making adjustments within the team. This demonstrates effective resource management and problem-solving skills before escalating the issue.
Choice D - Ignoring the issue and hoping the team will catch up is highly risky and not a proactive approach. This can lead to missed deadlines and potentially larger project failures. A proactive project manager takes immediate action to mitigate risks as soon as they are identified.?
Sample question 2) You are managing a project and realize that some key stakeholders are not satisfied with the project deliverables. What should you do first?
a) Hold a meeting with the stakeholders to understand their concerns.
b) Update the project management plan.
c) Escalate the issue to the project sponsor.
d) Perform a root cause analysis to identify why the deliverables are not meeting expectations.
Explanation: The correct answer is A. This approach demonstrates the proactive mindset of a Project Manager. It allows you to gather detailed information about their dissatisfaction, which is crucial for determining the appropriate next steps.
Let us evaluate the Incorrect Choices:
Choice B - Updating the project management plan may be necessary eventually, but it is not the first step. You need to understand the specific concerns of the stakeholders before making any changes to the project plan. Without knowing the root of their dissatisfaction, any updates may be premature and ineffective.
Choice C - Escalating the issue to the project sponsor is an option if the concerns cannot be resolved at the project manager level. However, it is not the first step. Initially, the project manager should attempt to resolve the issues directly with the stakeholders. Escalation should be reserved for situations where initial attempts at resolution have failed or if the issue is beyond the project manager's authority.
Choice D - Performing a root cause analysis is an important step in addressing the stakeholders' concerns, but it should come after you have gathered detailed information about their specific issues. First, you need to understand their concerns through direct communication, and then you can perform a root cause analysis to determine why those concerns exist.
Another category of questions is the calculation type for which you have to study the formulae.
Sample question 3) The formula to calculate the Schedule Performance Index (SPI) is ____.
Answer: SPI = EV / PV (Earned Value / Planned Value)
13.? Stay Calm and Confident:
o?? Maintain a positive attitude and stay calm during the exam.
o?? Use deep breathing techniques to manage stress.
