The Customized Process: What We Did

Step 1: Lead Creation The journey begins with a Lead in Salesforce, representing a prospective patient added by the intake team or self-initiated contact.

Step 2: Dynamic Checklist Generation Using Salesforce Flow, we dynamically generate Document Checklist Items based on predefined rules.

  • Example: For a “Home Care Services” Lead:Required: Insurance Verification Form, Consent FormOptional: Proof of Residency

Each checklist item is flagged as required or optional and tied to the Lead for streamlined tracking.

Step 3: File Uploads Users (staff or patients) upload files directly into Salesforce or via the Experience Cloud portal. Automated validation ensures the files are correct, properly formatted, and complete before marking the checklist item as pending.

Step 4: Real-Time Field Updates Once all required documents are uploaded and validated, the Lead’s field All_Documents_Uploaded__c is updated to True, signaling completion.

Step 5: Submitting for Approval Checklist items are routed for approval using Salesforce Approval Processes. Approvers can accept, reject, or request re-uploads to ensure compliance standards are met.

Step 6: Workflow Completion After all required documents are approved, the Lead’s field All_Documents_Approved__c is updated, ensuring readiness for the next stage.


Real-Time Dashboards for Maximum Visibility

To make life even easier, we created dashboards:

  1. Document Completion Dashboard: Tracks Leads ready for approval.
  2. Approval Status Dashboard: Flags pending or rejected checklist items.
